There are several fields in the MPS Details page that will not be editable in the Edit form as those fields are pulled from other CIMS lists.
Course Number and Course Title - come from the Course List
Third Party Tools - comes from the Course List
Term, Drop, Launch Term, Revision Type - Changes must be requested via Schedule Change request.
Project Year - auto-generated by system based on term
CMS Developer Assigned - comes from Production List
Editor Assigned - comes from Editorial List
Project Status - limited editing rights
Production Information Fields - come from Production List
Milestone Fields (visible on Details page only) - come from the timeline based on development term and launch term of the specific project.
To edit a project
Navigate to MPS.
Filter for project by any column header.
Click Edit.
Update project fields.
Click Save.
You can also open the Details page and then open the Edit form.
CurriculumInnovations - During development, if the scope of the project changes and additional things will be revised, the field should be updated to reflect the new direction.
Content Folder Link - When the Content Folder for project documents has been created in the DevGuide Library, the URL will be placed into this field. This field will also be visible (but not editable) in the production and editorial records. Adding the URL to this field will trigger an email notification to the project team.
MD Needed - Prior to Prep Task week, the ADOC or CS should indicate whether or not Multimedia will be required for the project and select Yes or No. Any Full revisions that do not require Multimedia should provide an explanation in the Multimedia Comments field.
Note: If this field is changed after Prep Task date, the system will generate a notification to the Sr. Manager Instructional Technology to assign or remove the MD as may be necessary.
Multimedia Developer Assigned - Based on the MD Needed field, the Sr, Manager Instructional Technology will assign a Multimedia Developer to the project. The system will send a notification email to the ADOC, CS and MD Assigned
ADA check - In Final Review Week, the CS and MD (if assigned) should update to indicate that they have checked the revised/developed content for ADA compliance.
Seminar Change - In Final Review Week, the CS should update to indicate whether seminars have been changed during the revision.
CS Final Review Completed - When the CS has received the content back from Editorial and approves it for production, they will enter the date in this field.
Production Email Feedback - Prior to saving the project with the CS Final Review date, the CS will also insert the list of all files needed for the build, as needed by production into this field. A “Ready for Production” notification email will be generated by the system to include the Project Content Folder Link and the information that has been entered into this field. The system will also update the content status to “In Build.”
Production, migration and audit statuses will be reflected in the MPS as they are updated on the Production List.
LMS Course ID will appear in the MPS once it has been added to the Production List.
Project Status will be moved to Closed - Completed after the revised content has been migrated and verified.
Projects are not normally deleted from the MPS; instead they are marked as Closed - Cancelled.
In the rare instance that a project needs to be completely removed from the list, only a few Admin personnel have permissions to do so.
Navigate to Project Schedule.
Filter for project by any column header.
Click Edit.
Verify it is the project you want to delete.
Click Delete Project at the bottom of the form.
Verify that the project record has successfully been deleted from the MPS, Production List, and Editorial List.
