The CRD process in CIMS ensures that changing textbooks are imported for the courses with approved changes each term.
Admin personnel will verify the term textbook updates according to the Pre-Publication Textbook Verification Process.
The textbook Mass Import feature allows textbook data to be entered en masse via a spreadsheet upload. Once the textbook data is imported, the data will be visible in the Project Details, Production Details, Course Details, and the Textbook List. The mass import of textbooks is not common since the CRD process has been moved into CIMS. In the rare instance that multiple records need to be added outside of the normal CRD process, admin personnel will update the textbook table with the textbook updates approved through Procurement.
Specifics on creating the textbook import sheet:
The textbook import sheet must match the column fields in the CIMS Textbook List.
The textbook import sheet must identify a specific term for the records being added.
An individual record for each text used in the course must be present for the term. (Even if only one of three textbooks is changing, new term records will be created for all 3 textbooks used by that course.)
Import field entries must meet the limitations of fields within the Textbook List:
Media type cannot exceed 10 characters.
School names must match what is in CIMS as school choices.
Course Number must match course number as listed in Course List.
Book Titles should be concise (anything over 100 characters may be truncated in the record and publication).
Import field entries should be complete and accurate:
Author names should be separated by commas.
Editions should include a number and date (i.e., 3rd [2018]).
Note: Records for courses that are not in the Course List can be imported; however, they will not be synced with the Course List, and the course number will appear in the Course Number (w/o Record) Field in the display table. If the record is not synched with the Course List, the textbook information will not appear in the syllabus or Course Guide publications. So, it is essential that once the course is added to the CIMS Course List, the textbook record is then edited to link the record to the course in the Course List, which will auto-populate the school and course title on the textbook record to match what is in the Course List. When properly synched, the course number will move to the course number field in the textbook display table.
