With each eCatalog Update, the CIMS Administrator will import the eCatalog course information changes to the CIMS Course List before the syllabi are published for the term in which the catalog update will be published.
eCatalog updates will be received from the Registrar approximately 5 weeks before term start/Catalog release date and verified against the FCC-approved proposal list for completeness.
Information from Registrar will be formatted for import to the CIMS Course List and imported per the Catalog Update Import SOP.
The ADoC can submit an Ops Action Request for a mass update to be made by import for instances that affect several courses such as a change in Course Lead or Department Chair, the status of all courses within a program, etc.
Create Import Sheet
If editing existing records, create import sheet that contains only:
Course Number
Columns for fields in which data is changing
If records are being added using import, the import sheet must contain all of the following columns:
Course Number
Course Name
Course Description
Number of Units
Credit Hours
Prerequisites
Degree Type
Course Type
Course Status
Reason for Placeholder
Course Team Information (ADoC, CS, CL, Chair)
CBE (if ExcelTrack modules)
Navigate to Course List.
Select Course Importer.
Select Choose File to find the import sheet on your computer.
Select Upload File to upload the data to the import table.
Important:
Verify number of files found matches number of rows on import sheet.
Scroll to right and verify that all columns on import sheet are showing the changes in data.
Select Import Data.
Verify data imported. You will be returned to the Course List display table and should then filter by Modified date and Modified By and export to confirm that all of the data in the Course List matches the data on Import Sheet for modified records.
