Only specific users have permissions to use the MPS Import tool. An import file is used to:
Add new projects in bulk to the schedule (done each year after budget approval)
Update specific fields of existing projects on the schedule
Open the Project Schedule Import Template.
Complete the template with new project information. Remove all filters and frozen panes prior to saving. Save file as xls or xlsx.
The DropCode column must be formatted as “Drop X.”
Navigate to the Project Schedule and select Project Importer.
Importing data is a three-step process:
Step 1: Select Choose File to browse and find saved file on your computer.
Step 2: Select Upload File and the data in the spreadsheet file will show in the display table.
Verify the count of items matches the count of items on your import spreadsheet.
Scroll all of the way to right to verify that all data in the import file is showing in the display columns.
If there are discrepancies or errors, determine what about the data in your spreadsheet is not compatible with the system and correct your spreadsheet, save the changes, and start again from step 1. (For some columns the data must match exactly the choice options for that field in the creation form)
Step 3: Select Import Data (page will refresh and return you to full MPS list). Note: If you filter on the preview screen and leave the filter ON, you will only import the items showing in the filter.
Filter MPS for Created date and Created By to verify that all projects on the import spreadsheet have been created.
There are some exceptions to what can be updated using an import:
A course number on a project cannot be changed via import.
An import cannot be used to remove existing data from fields. A cell with no data on the import sheet will not overwrite the data already in the system. Any existing data in the system will remain.
CurriculumInnovation field can only be added to and not changed via import since it is a multi-select field. Any imported data will be added to what is already there rather than replacing it.
To update projects using the Import tool:
Navigate to the Master Project Schedule.
Filter for the projects that will be updated and export filtered Project Schedule data by clicking the Export to Excel button.
Create your import spreadsheet - it must always include the ProjectScheduleID and the course number. Cut and paste these two columns into a different tab.
Identify the columns of data that will have changes and cut and paste those columns into the tab started above. Note: If updating Term or Launch Term via mass import, you must include the DropCode column, and the DropCode column data must be formatted as “Drop X.”
Ensure that all filters and frozen panes and extra tabs are removed prior to saving the import sheet. Save file as xls or xlsx.
Navigate to the Project Schedule and click Project Importer.
