Syllabi will be published every term for the course revisions that are on the MPS to launch that term. They can also be published (republished) en masse as may be necessary for major changes that affect all.
Specific process steps are included in the Publication SOP.
Regular Term Publish - Syllabi will be published for all courses that:
Indicate a revision change launch per the MPS.
Indicate a catalog change per the most recent Catalog Update list.
Indicate a textbook change per the CRD list.
Require republication due to known changes in Course or School Policies.
Require republication due to known changes in Hardware/Software Requirements.
Full Course Publication - All active courses in the course inventory will be published. The following course types that are Active or Not yet Active in the Course List will be audited for publication readiness.

Outcome Modules (For terms that have ExcelTrack offerings)
Go to the Publish page in CIMS and select the button for Publishing Defaults List.
Verify that the disclaimer defaults have the term associated with the term that will be published.
The Publishing Defaults List contains content that is used across all schools for all courses, such as the disclaimer statement and reference to university policies. It also contains default language for fields that may not have information in the Course List, such as Course Policies or Hardware/Software Requirements. A default item will exist for fields as necessary for each of the three types of publication templates (CBE Syllabus, Regular Syllabus, Clinical Syllabus, CBE Clinical Syllabus and Course Guide).
Return to the publishing page and select the Publish button.
Select the desired parameters for the syllabus publication. (Note: To select more than one in any drop-down, hold down the control key when selecting.)
Term (Term that will be migrating)
The following parameters will filter the courses that appear for selection:
School (Schools that have courses running on selected term)
Course Status (Syllabi are only published for Active courses.)
CBE Course (if ExcelTrack courses should be included)
Degree Types (Graduate and/or Undergraduate courses. The degree type indicated in the Course List will determine which school policy verbiage is inserted.)
Course Type (Not all course types use syllabi [i.e., Course Assessments, Orientation, etc.].)
Curriculum Specialist (optional)
Courses - Courses that meet the above criteria will appear as selection choices.
Once all parameters have been selected, click the Publish Syllabus button.
The system will publish all of the syllabi for the courses selected and automatically:
name each file as [Course]_[Term]_Syllabus.docx.
overwrite the content of any previously published syllabi with the same file name.
The publishing list is our historical record of what was in the syllabus for any given term.
Note: Because syllabus information such as Course Policies, School Policies, and template changes are not term related but do change over time, never republish a syllabus for an earlier term that has already ended. Rather, download the syllabus that was published for that term and edit manually if necessary.
After publication, any warnings regarding missing information in the syllabus can be seen in the publishing display table in the column labeled Warnings.
Discrepancies noted in the Warning column should be rectified and the syllabus republished before placing in the MCO.
