Messaging Campaigns
with appropriate permissions:
Email Campaign: Email Campaigns let staff reach out to specific student populations and encourage them to take certain actions with a link that is tracked.
Launching Messaging Campaigns:
To begin, open the Campaigns page and select Add New from the Messaging Campaigns section.
Set your Campaign Name.
Use the following Naming Convention
(Department acronym).(Term Code the campaign is for).(Name of Campaign).(Your username)
Example:
ADV.202210.Registerforclasses.awoody
FAC.202230.MidtermCheckin.ebreton
Care Unit; Location; Service; Select the options you chose for your Campaign
Tracking URL
The URL you want students to click. This can be any URL, but you probably want it to take students directly to the page you are asking students to visit in the email.
Tracking URL Display Value
This value will display in place of URL in the email to students (ex. "Click Here to Register")
Verify Recipients
Select the students to add to the campaign and click Continue.
Add a Student List you have already created by going into the Student Information drawer and selecting your Student List from the Box.
If you use the Advance Search Drawers/Options to find students, you may also save this search if you want. Once you’ve gone to the next step, this list is static and does not update.
Review the students on the next page. If a student should not be in the campaign, select the box next to their name and choose to Remove Students from Campaign from the Actions menu.
Compose Nudges
Nudges allow for more communication with students during a Messaging Campaign.
Each nudge can be sent as an email or text message to your campaign list.
Text (SMS) nudges are permission-based. Email Navigate@HCC.edu if you have questions.
Note that you can only create one nudge of a single type per day. So for example, you can't have a text and an email nudge go out the same day, but you can have a welcome message that's an email the first day, then a text the next day, and so on.
Students can not reply back to a text(SMS) message through Campaigns.
Welcome messages send immediately after starting the campaign.
Other nudge emails/texts are sent the morning of the date chosen when you create the nudge. As with any email, some may be slightly delayed.
Select the Type of Nudge (permission-based) you would like to send:
Click Add Welcome Message to create your first nudge. You must create at least one nudge per campaign; however, you can create more. There are no limits on how many nudges you can send. Edit your Welcome Message and additional Nudge.
There are merge tags you can use throughout your email. Either copy and paste from the list belowor insert the tag from the Merge Tag dropdown menu.
Do not remove the {$tracking_hyperlink} merge tag from the draft email.
The Tracking URL Display Value that was chosen in the Define Campaign screen will show in the preview email on the right of the draft email.
After creating a nudge(s), click Save Welcome Message/Save Nudge to continue. You may continue creating nudges after this.
Important. Your Email Campaign "ends" when your last message is sent. You can continue to add Nudges after the last message is sent, if this is helpful to your Email Campaign.
Confirm and Send
Review your campaign details on this page.
Click Start Campaign when you are ready to email the invites to the selected students.
