All Students IEP

Preparation for the IEP Meeting 4-6 weeks in advance:

    • Review most recent evaluation results

    • Review student's progress in present program

    • Determine strengths and needs

    • Determine who is part of this IEP team

Schedule IEP Meeting with IEP team:

    • Contact parents to set a mutually agreeable meeting time and place

    • Ascertain required participants (Direct Supports, OT/PT/AT, AdaptivePE, Safe Eating, SLP, etc.)

    • Send meeting notice sufficiently in advance to allow parent participation in the IEP process

      • Re-schedule as needed to allow parent participation prior to the annual IEP date.

    • Document contacts to arrange the meeting in orsped

    • Call Parent as a reminder within two school days of the meeting (recommended)

Convene the IEP team and hold annual IEP:

    • Require Participants in the IEP meeting

      • Parent(s) optional if student is over 18 (ROI with adult student for parents)

        • Parent role can be played by parent, guardian and persons in a parental relationship to the student, surrogate parents or students whose rights have been transfered

      • Student-required if over 16, otherwise optional

      • Regular Education Teacher (Required - Written Agreement if not able to attend)

        • At least one, more than one if applicable

    • Special Education teacher and or service provider(s)

    • District Representative (always)

      • Qualified to provide or supervise special education

      • Knowledgeable about the general education curriculum

      • Knowledgeable about the available resources

      • Authority to commit District resources

    • Individual Interpreting Instructional Implications of Evaluations (always)

      • Can be a case manager, school psychologist, related service provider, student services administrator, support specialist

    • Other individuals determined by the parent or District to have knowledge or special expertise regarding the student

    • Transition Specialist

      • Representative of an outside agency for transition

    • Student Services Administrator, if the meeting is controversial or potentially requires a commitment of considerable resources.

  • One person can fulfill more than one role on the IEP team

  • Interpreter if the parents do not communicate in spoken English

If a required team member doesn't show for the scheduled IEP meeting:

Parents:

  • If the notice of team meeting requirements have been met and the parent fails to attend the scheduled meeting, the IEP meeting can be conducted without the parent

    • Call the parent prior to the start of the meeting to see if they can participate via phone

    • Call the parent following the meeting to gain parental input into the IEP process, and document your attempts on your meeting minutes, and in orsped.

      • Parent participation is required for all IEP's

General Education Teacher:

    • Prior to the start of the meeting ask the parent if they are willing to enter into a written agreement and allow the general education teacher to not attend.

    • If the parent agrees they would sign the "written agreement form" form is in Orsped and you would distribute with your IEP packet

    • Documentation is required on the prior notice of sped action, as well as the meeting minutes.

Related Service Provider:

    • Prior to the start of the meeting ask the parent if they are willing to enter into a written agreement and allow the general education teacher to not attend.

    • If the parent agrees they would sign the "written agreement form" form is in Orsped and you would distribute with your IEP packet

    • Documentation is required on the prior notice of sped action, as well as the meeting minutes.

Draft an IEP 1-2 weeks prior to the scheduled IEP meeting:

    • Roll prior years IEP forward and revise all pages of the IEP prior to the meeting date

    • Gather input from general education teachers, progress notes, report cards, statewide assessment for the present levels and update the Present Levels of Academic and Functional Performance

    • Collaborate with general education, service providers and draft new annual goals based upon student's present levels of academic and functional performance

    • Update the Service Summary page

    • Update the Statewide Assessment page

    • Draft the Placement Determination to be presented with the annual IEP

Hold the IEP Meeting:

    • Follow the IEP agenda, and review each page of the IEP with the team

    • Determine Placement with the IEP team

    • Document your IEP meeting in meeting minutes

Paperwork Distribution:

    • Paperwork must be distributed to the AC205 and Parents within 10 days of the IEP meeting.
