A read-only transaction is a transaction that can no longer be edited. Preventing transactions from being edited ensures that the accounting records can be relied on, because users are not going to change historical records that invalidate current management reports.
Statuses are used to allow editing or to mark a transaction read-only. In certain cases these statuses can be changed and the transaction can be edited again if the User has the necessary access rights.
Transactions can be read-only whether or not they update the ledger.
Navigation Example: Main Menu > Accounting > Ledger
Table of Contents
When a Transaction is in a read-only state, all the editable fields are greyed out.
The transactions will mostly have Statuses of Complete or Reconciled.
ℹ️ See User Access. If the checkbox Status (Up only) is checked for a Transaction Type or user, that user cannot change the status to a previous status and cannot edit a read-only transaction. This setting is set for each transaction type separately; therefore, a user might be able to edit some transactions but not others.
Display a list of transactions.
Double-click a transaction to open it.
Make a note of what the transaction's current status is.
Click the arrow next to the Status on the top colour-coded bar and select a different status from the dropdown list (e.g. Pending).
Click Save (button).
If the transaction is still greyed out, click Info (circle with an i in the middle) near the top right to see why the transaction is read-only.
Undo the steps that caused the transaction to become read-only: For example, if the reason is: "One or more Allocations have been linked to the Transaction". Click Clear (button) on the Allocation section (bottom left) to make the transaction editable.
Edit the transaction.
Change the Status of the transaction back to what it was as per Step 3.
Click Save (button).
Navigate to Main Menu > Setup > Settings > General (tab).
Type pass in the search block.
Click the Value column next to the entry Accounting > Password to edit read-only Transactions in Ledger and type a password.
Note: Write the password down because the password is not displayed, only asterisks.
If the setting is not there, click Add/Update (button).
Select the setting and click Add/Update (button) on the popup.
Click Close (button) to close the popup.
Proceed with Step 3.
Click Save (button).
Select Actions (button) > Edit Transaction (Password Required).
Type the password.
Edit the fields.
Click Save (button).
Note: You do not have to change the Status of the transaction if you use this feature.
