Project Scoping?
Why is project scoping important?
At HelloFresh, Learning never stops, it means that we take every opportunity to learn and improve for the future. Last year, a lot of significant projects were conducted and one of the main retrospective lessons was about making sure that the scope of the project is well defined and aligned before the start of the project. Not scoping properly has a couple of risks : loss of time in the execution that will lead project delay (and indirectly stakeholder dissatisfaction), ineffective execution, incorrect or missing stakeholders involvement, changes being implemented that might not work for all parties involved or do not follow established processes.
A good example of this is Project Chimera, where the timelines have been extended because of scope creep during the execution of the project which indirectly has impacted execution and implementation of other projects. Another good example is the Communication Tower for Pick&Pack where it was underestimated how much effort this was at the start of the project.
In order to ensure this is improved in 2025, it has been decided in the PLT that we are going to change the way we scope and start a project.
What has changed ?
The main key takeaway is that every new project needs to have a project charter where the goal, deliverables, and the scope of the project is well defined.
First, the project charter needs to be done and aligned with your line manager. Secondly, it will need to be approved by the head of the other departments involved to make sure nothing has been forgotten that could impact other teams.
Lastly, it will be prioritized by the PLT members during the monthly prioritization meetings.

OPS-Tech blog
Last month Miguel and Guinio from the Ops-tech team travelled to our Global headquarters in Berlin for the WMS 2.0 workshop hosted and organized by Daniel Thöne our Global Director of Engineering - SCM Tech Fulfilment. They were accompanied by Jasper our business owner, Iana our project leader and Jeroen our BNL Associate Director of Engineering.
During this technical multi day workshop with the Global WMS 2.0 project group the following things were done:
The BNL team gave an in depth explanation of our current warehouse process and tooling landscape of Schiedam and the Prismalaan.
Defined a first version of the milestones for this project
Started a GAP analysis of the current tooling landscape and WMS 2.0 and flagged challenges
Discussed tooling integrations required for introducing WMS 2.0
In-depth discussion of how to deprecate WMS Lite
The goal of the project is to move to a mature warehouse management system for the Kas as the current state is a conglomerate of many pieces of software that interact in an inefficient way which leads to extra and complex ways of working and is not maintainable for the future.
All in all the WMS 2.0 workshop was extremely fruitful and it is clear that this will be a challenging project which will require a strong collaboration between the BNL and Global teams.

Forklift / reach truck certificates
In the past few weeks, a total of 16 employees passed the theoretical and practical exams for the forklift and/or reach truck and scissor lift certificate.
