*OPS-TECH Sprint recap and update*
Hello Tech and Data enthusiasts!
All of you who went into the weekend sad and disappointed because there was no ops-tech update the past 2 weeks, do not be worried! We simply move the update to halfway through the sprint instead of at the start, to give a more accurate update.
The past sprint we facilitated the OPE-launch by making a few adjustment to the WeekOverview tool for material planning. Furthermore, we finished scoping all requirements for moving the Factor to a dedicated Factor pick to light line. We also did quite some scoping for project PAX, and initial plans were made for the Ops-Support faceflift.
This sprint the team is at full capacity again. Our main focus is on finalizing all tech & data topics to move factor to the dedicated line, and to finalize the MVP for the kanban application. Furthermore, a lot of time is put into preparing to produce Factor for our friends up North, for project Ikea. Lastly, we finalized the new and improved "namenlijsten tool". This new version will not contain any customer names anymore, so you're all free to suggest a new name.

UPDATE: reusable crates project
For the last 2 years, the Sustainability team has been leading a project to replace the cardboard boxes we deliver to customers in with a Reusable Crate, and to set up the circular packaging and fulfilment system that goes along with it. The motivation to do this is to reduce waste, reduce CO2 emissions, improve customer perceptions, and possibly achieve a cost reduction by eliminating our ~5 million euro per year spend on cardboard. Additionally, packaging regulation is changing quickly, and it is possible that in a few years time we will be required by law to use reusable and circular packaging - look for example at the changes that happened in Horeca in 2023.
Of course, this type of packaging and system has huge impacts on almost all parts of our operation, and adds costs in many areas. To properly understand these costs before we roll out, we have been doing various different pilots in different parts of our operations. For example, in 2022 we did 3 Pilots within Logistics, during which a total of 1100 customers were delivered to with Reusable Crates. The next step now is to run 'static tests' (ie. not customer-facing) in order to better understand the assembly line costs at the DC, and the washing costs at a local crate washing facility. This is in line with the 2024 Operations OKR 3.5:
By Year End complete a static test and scaled-up pilot to accurately and confidently demonstrate the full cost impact of switching to reusable crate-based deliveries.
Our goal will be to measure if we can pick & pack mealkits into the crates at the same speed and efficiency as with cardboard boxes, and to optimise the (different) process that this entails, as well as testing whether the crate design we have can be washed and dried efficiently. Both these tests are planned for in March.
To do this we have ordered 500 prototypes of the custom-made HelloFresh crates and lids, which should be shipped to us by December this year. We aim to complete both of the tests mentioned above by the end of January 2024. Below you can see the latest design of the crate following some improvements that were recently made:
Fruitkits
As of this week, we have insourced our fruitkit production again. For quite a while, the fruitkits and boxes were packed by Fruitful Office. However, since today we are packing them ourselves again. Despite some quality issues with the kiwi, pears and mandarins, eventually all products arrived on time to be packed by the IT team in the early morning.

This is meant to ensure the safety and comfort of all persons using our canteen. By keeping this guideline, we can create a pleasant area for everyone.
Please store your bags neatly in a locker after your break. We appreciate your cooperation in following this rule.
Golden Lime Award winners
In November last year, we held the engagement survey for our frontline staff. The survey went really well and we reached a 100% score. Of course, this did not go by unnoticed, and we were rewarded with the Golden Lime Award. Only the DC in Moss was able to reach a 100% score as well, resulting in a well-deserved shared first spot. A big thank you goes out to our production leadership team, including the team leads and the People Operations team for being the driving forces behind the survey. And a special thanks goes out to Peter Loos for the endless translations in Hungarian, and the coordinators of Charlie Works and Flexibel. This score was possible due to a huge team effort, and as you can see, team work pays off!
Promotions!
Congratulations to all the team members who have achieved promotions as of the 1st of January! Your hard work, dedication, and exceptional performance have not gone unnoticed. This is a well-deserved recognition of your skills and contributions. May this new step bring you even more opportunities for growth and success in the coming year within HelloFresh. Well done! 🎉👏
Jasper (Jr. Professional - Mid level Professional)
Combining a hands-on, problem-solving mentality with in-depth knowledge about our systems and tools. Besides his responsibilities as Material Planning Coordinator, Jasper was promoted to MP Business Owner. He is the first point of contact for the MP domain. Besides that, Jasper has been closely involved in the topic of supplier performance, which he will further roll-out this year with the OTIFIQ pt. 2 project!
Peter (Jr. Professional - Mid level Professional)
Since joining our team 1,5 years ago, Peter has shown great responsibility and growth in his role as OPS-Support Coordinator. From handling all daily and weekly tasks on his own (before: a team of 2), up until succesfully learning the complicated tasks to our colleagues from the shopfloor to have a back-up. Keep up the good work!
Guinio (Jr. Expert - Mid-level Expert)
The step from junior to medior is well deserved. In the past year Guinio has grow a lot in both technical skills and project management skills. He has been a leading factor in all kitting & market changes during the site merge an factor launch, as well as a key engineer in our ops-tech team.
Renee (Jr. Professional - Mid level Professional)
With her endless enthusiasm and energy, Renee has proven to be a real problem solver. She understands the needs of her stakeholders very well and always aims to find a solution for all issues occuring. A team player with problem-solving skills and a proactive mindset and positive attitude - a well-deserved a promotion!
Adrian (Linelead - Teamlead)
Adrian joined the team in 2020 and fulfilled several positions in the internal logistics team since then. By the end of last year Adrian got promoted to Team Lead IT. A perfect chance to further support the growth of the team, standardization of processes and enabling future growth. You might hear him speak English, Italian, Polish, Romanian or even in Dutch - a multi language colleague!
Badr (Jr. Professional - Mid level Professional)
Badr is living the Hellofresh DNA. He consistently recognizes opportunities and has a speed and agile approach. He understands customer context, the business needs, asks relevant questions to stakeholders and effectively implements changes. With the fust improvement project, Project Chimera and the OTIFIQ project he successfully enabled the company to further improve and standardize!
Sina (Workstudent - Jr. Material Planning Coordinator)
Sina started in the Klappolder team as as working student. Since the merge to PW, he is a familiar face for everyone working in the weekend. Numerous issues have been solved by him, and therefore deserved his promotion to Jr. MP Coordinator.
Mitchell (Workstudent - Jr. Material Planning Coordinator)
Mitchell started his HF career as a work student in the FM team, where he was responsible for the big Ultimo project. In October he made his transfer to the Material Planning team where he could further develop his skills and knowledge. After a few months of being work student in the MP team, he deserves to be promoted to the role of Jr. Material Planning Coordinator. Well done!
Nisrine (Jr. Professional - Mid level Professional
A real Green Chef-chef! Nisrine has taken full responsibility of the Green Chef domain! She has a wide scope of responsibilities related to GC, and is the go-to person for all GC related matters including material planning, placing orders, supplier issues and error analyses.
