In ACMS, Programmes define the academic qualifications your institution offers (e.g., Bachelor of Science, MBA), while Batches represent student cohorts enrolled under those programmes for a specific academic period.
Setting this up is essential before launching applications or assigning subjects.
From the dashboard, go to Administration.
Click Settings.
Select Manage Programme/Batch.
By clicking on the link labeled “Manage Programme/Batch” a user will be redirected to the screen below where they will have the ability to manage programmes, manage batches and ect
Clicking on Manage programme will redirect the user to the list of programmes available on the system, the user can view,edit, delete the programmes or the user can create new programmes in addition to the existing ones
To create a new programme, a user should click on the “new program” button located on the right corner screen as highlighted below and the system will display a form and allow the user to fill in the required information.
Entering Program Details:
Program Name*: Provide a clear and descriptive name for the program (e.g., "Bachelor of Science in Computer Science").
Section Name: Input the section name if applicable.
Code*: Assign a unique identifier for the program (e.g., "BSCS2024").
Grading System Type: Select the grading system applicable to the program (e.g., "Normal").
Admission Prefix: Specify an admission prefix if required.
Enable Elective Selection: Choose whether to allow elective course selection for this program.
Program Category*: Choose the appropriate category for the program (e.g., Undergraduate, Postgraduate, Diploma, PhD, DBA).
Duration: Indicate the duration of the program in years.
Number of Years/Levels Course Have: Specify the total number of years or levels the course comprises.
Is Year Wise: Indicate if the program is structured on a yearly basis.
Enable Level Aliases: Choose whether to enable level aliases for the program.
Is Provisional Course: Specify if this is a provisional course.
Defining Batch Details:
Initial Batch Name: Specify the name for the initial batch (e.g., "Fall 2024 Batch").
Start Date: Input the date when the program will commence (e.g., "September 1, 2024").
Duration: Indicate the duration of the program (e.g., "3 years").
Saving the Program:
After filling in all required fields, click the Save button to create the program.
The new program will now appear in the list of existing programs.
📝 Note:
This initial batch is created along with the programme. Once students are admitted and assigned, subsequent batches will be automatically generated by the system based on future registration activity.
Click Save to complete setup.
From the Manage Programme/Batch screen, you can also:
Manage Batch
View or deactivate existing batches (auto-generated or manually created if needed).
Batch Transfers
Move students from one batch to another if required.
Manage Programme Heading
Organize programmes into headings/faculties for reporting purposes.
