Fee collections define the timelines and structure for collecting student payments per academic term. This process links fee categories and particulars to specific dates and batches.
Step 1: Navigate to the Fine Creation Section
Go to Admin > Finance > Fees > Create Fees > Generate Fine.
Fill in Fine Details
Click on Create Fee Collection to begin the setup.
Step 2: Fill in the Required Fields
Fee Category: Choose the fee category (e.g., Tuition, Laboratory Fees). Note: Application Fee is handled by the registrar.
Fee Collection Name: Enter a descriptive title (e.g., "Spring Semester Tuition").
Fine: Select the applicable fine rule (if any).
Start Date: When the fee collection becomes active.
Due Date: Deadline for payment. Fines will apply based on slabs.
Pay Before Register: Specify if payment is required before academic registration.
Academic Term: Select the academic term.
Step 3: Define Due Dates Using Day Slabs
You can apply escalating fines based on how late the payment is:
7 Days: Enter the penalty amount for payments overdue by 7 days.
14 Days: Add a second slab with an increased amount or percentage for payments overdue by 14 days.
30 Days: Optionally, add another slab for payments overdue by 30 days or more, further increasing the fine amount.
This tiered structure promotes earlier payments and discourages prolonged delays.
Click View in the Fee Collection Dates section to see a list of scheduled collections.
Use the Batch dropdown to filter collections by student batch.
Click the Edit (✏️) icon next to any entry to change:
Fee Category
Fee Collection Name
Start Date
Due Date
Academic Term
Click Update to save changes.
Click on Manage Fee Collections to assign/unassign particulars and discounts.
Use the Batch dropdown to select the group you’re working with.
Select the appropriate Fee Collection from the list.
Under the Batch-wise section, tick the boxes next to the fee particulars to assign them.
These particulars must be created in advance.
Click Update to confirm.
Once updated, you will receive a confirmation message.
Review the assigned particulars to ensure accuracy.
