Definition/explanation
What is a subpoena for student records and why do we receive them?
Student records are often requested as part of an investigation or court case, but we don’t always know the reason. It’s more important that the subpoena is lawfully issued and properly handled. Rarely is FRCC the target of the subpoena.
Sometimes the college will receive them regarding a current or former employee. Those should be directed to Human Resources.
How do we receive subpoenas?
They are sent by mail, email or fax. They may also be hand delivered by a process server. They may ask for the Custodian of Records
Clarifying questions to ask
Are they in person to serve a subpoena?
Are they looking for information on how to submit the subpoena?
Subpoenas are managed college-wide by Miori Gidley. The document can be mailed, emailed or delivered in person:

Steps for Wolf Central Staff
It is acceptable for Wolf Central staff to take in the subpoena. On a post it, write down the date, time and who served the document.
Immediately scan and email the subpoena to these two email addresses:
Miori Gidley - miori.gidley@frontrange.edu
Registrar - registrar@frontrange.edu
And, send the original copy via inter-campus mail to Miori Gidley, LC Registrar’s Office
If Wolf Central staff are not able to manage this step, refer the inquiry to the campus Registrars’ Office
Process/form involved
Once received, they are processed centrally in the Registrar’s Office by Miori Gidley. The process involves review of the document for eligibility, notification to the student, and release of student records, unless stopped by the student.
Deadline
This is very time sensitive, and the college will have legal obligations in the process. Do not delay in handling this.
