1) VIRTUAL CONFERENCE 2020
A) Papers and payments
Number of papers = 97
Paid participants around 105 (systems allow up to 180 people)
Q Marty: "Is there a way for co-authors who are not attending to participate in the Q/a?" A Mario: There is 1 registration code for each author; discussion is in a closed format
B) Proceedings
Should be ready before the conference, by 15 June
C) Programme / Exact dates
Dates: 15 June - 6 July (rationale: 1 f2f conference day = 1 week online conference)
There will be an online 'conference dinner'
More specific programme, incl. names and affiliations of authors/presenters: available later
D) Platforms
Learning management system = Moodle (centralizes all external links); YouTube and Microsoft Teams will be used within Moodle
Suggestion Alexis: "I have two suggestions for presentation videos: 1) encourage presenters to edit auto closed captioning (cc is very helpful for audiences but AI is bad at technical/academic/philosophical transcription) and 2) invest in even an inexpensive microphone when recording video - audio quality can be even more important than video quality"
Q Don: Is there a trial run? A Mario: there will be tests a.o. with the 4 keynotes
Q Richard: is there anticipation in terms of people experiencing problems with technical aspects? A: Mario will send out additional reminders and updates, incl. contact information concerning technical support. Mario emphasizes that the infrastructure will be easy to use
Other information: see pdf sent around previously
E) Refunds
No problems to report so far. All people expected to attend the f2f conference will attend the online conference.
2) ETHICOMP 2021
30 June - 2 July 2021
Inform people who have vouchers for airlines (and hotels?)
Action point Mario: Reveal this information asap to the community
3) TURKU CONFERENCE
2022 or 2023: no preference from the organizing committee; 2022 September or 2023 May are options from their perspective
Catherine prefers 2023 (is also more in line with ETHICOMP's rules); we have to take into consideration public holidays
We have to avoid becoming an annual conference, is too much for a lot of people
We have 1 year to figure this out
4) 2020 ELECTIONS
Normally, there would have been elections organized after the 2020 conference. In the SC, there is a preference to postpone the elections.
3 remarks:
1) Reach out to the community and ask if they agree with this. "The SC makes this decision; yet, does anyone have objections? (a term = 3 regular conferences and 2020 is not a regular one)" action point Katleen
2) People whose tenure would have ended in 2020 need to agree with this, because in practice this will imply serving another year on the SC. So Alexis, Marty, Don, Kai, and Katleen have to individually agree with this extension.
3) Will people who attend the virtual 2020 conference be given the right to vote in the next elections? There is a preference to indeed grant them this voting right because it is not their personal choice to attend the conference virtually and not face-to-face. So yes
4) Katleen will serve as deputy chair until after the online conference.
5) ACTION POINTS
Katleen: write draft email for community about postponing the elections
Mario: Reveal information 2021 conference (location + dates) asap to the community
6) NEXT MEETING
In week of 6 July - see Doodle
To address next meeting: Q: "another question for the election, is do we drop off those who haven't been at the last three conferences?" List of voters = the past 3 ETHICOMP conferences
