1) VIRTUAL CONFERENCE 2020
A) Papers and payments
75 papers confirmed for the virtual conference; 40 papers still unclear, authors have been contacted
Not all payments received, some pending, Mario is keeping track of this
B) Proceedings
All extended (and accepted) abstracts will be included in the proceedings
C) Programme / Exact dates
Mario and his team are still working on it; updates/decision will follow in the week of May 4th
D) Platform
Not yet decided (more updates in the week of May 4th) but the presentations will be recorded + uploaded. Length: 4-6 minutes each, not longer
Synchronous communication difficult because of different time zones
SC members have a preference for sticking to 1 platform and 1 method and not using a mix of platforms because that will be too complicated
The track chairs will have an important role for discussions

E) Refunds
Mario + his team are working on it and looking for sponsors
Mario will send decisions on the programme/platform/dates around next week and then we will schedule another SC meeting
2) ETHICOMP 2021
Agreement on the new dates: 30 June - 2 July, 2021, in La Rioja, so this can be communicated to the community
3) TURKU CONFERENCE
According to the rules, ETHICOMP is normally organized every 18 months. We consider the 2020 conference as a 'bonus conference'
Question: when will the conference in Turku be organized: in 2022 or 2023? And how soon do we need to make this decision?
Katleen will contact Kai. Input (preference) from the SC will be asked later.
4) 2020 ELECTIONS
Normally, there would have been elections organized after the 2020 conference. In the SC, there is a preference to postpone the elections.
3 remarks:
1) Reach out to the community and ask if they agree with this. "The SC makes this decision; yet, does anyone have objections? (a term = 3 regular conferences and 2020 is not a regular one)"
2) People whose tenure would have ended in 2020 need to agree with this, because in practice this will imply serving another year on the SC. So Alexis, Marty, Don, Kai, and Katleen have to individually agree with this extension.
3) Will people who attend the virtual 2020 conference be given the right to vote in the next elections? There is a preference to indeed grant them this voting right because it is not their personal choice to attend the conference virtually and not face-to-face.
5) ACTION POINTS
Katleen: write draft email for community about postponing the elections
Mario: send decisions on the programme/platform/dates next week to the SC (week of May 4th) + inform the community about the 2021 conference +
add the 2021 dates to the conference website
To discuss in the next meeting: in the 29 April meeting, we only talked about prolonging the terms of ex officio members and elected SC members but forgot to talk about (potentially) extending the chair's (Catherine) term
6) NEXT MEETING
= in May. Exact date to be scheduled after we received the decisions from the conference organizers
