What to know:

1. Data to Disrupt Groups (D2D): This is a group of Data Collaborative partners who participate in a 1.5 hour meeting every other month.

2. Problem of Practice (PoP): A problem of practice is a challenge, barrier or dilemma that is experienced. A PoP unpacks and describes what has been attempted and the challenges and undesired results that occurred.

3. Lead: They are responsible for submitting the Problem of Practice for the Data to Disrupt Groups.

Data to Disrupt Group Meetings Protocol & Process

Protocol:

Role #1: Problem of Practice (POP) Leads:

1 WEEK before the scheduled D2D meeting: POP Leads write a version of their Problem of Practice and shares it with their Data to Disrupt Group through group email. The PoP should reflect the following:

  • 1-2 paragraphs, that describes the challenge or dilemma you are facing. Consider sharing why it is a dilemma for you, why it matters, what you have already done to remedy or manage it, and the results of those attempts.
  • In addition to describing your dilemma, be sure to provide a focus question that gets at the heart of the matter and helps focus your D2D’s feedback.

1 DAY before the D2D meeting: POP Leads answer all the clarifying questions that were posed by the D2D members (see below).

  • Occasionally, clarifying questions may lead a presenter to reframe the focus question: that’s fine.

After the D2D meeting: POP Leads share the action steps they plan to take with the group via email.

Role #2 Data to Disrupt Group Members:

At least 2 DAYS before the scheduled D2D meeting: Each D2D Member should read the two Problems of Practice to be presented and ask any clarifying questions via email using Reply-All.

  • Clarifying questions ask about the “nuts and bolts” of the situation; they primarily help others to understand the context of the challenge. They are usually straight-forward and easy to answer.
  • Clarifying questions are intended to help the asker, not the presenter.

The Facilitator:

The week prior to the scheduled D2D meeting: The Facilitator of the upcoming D2D meeting ensures that the Problems of Practice are shared and clarifying questions are asked and answered on-time (see above).

During the meeting: The Facilitator uses the powerpoint template (found below) and the D2D Problem of Practice Protocol (found in powerpoint template or provided below) to guide the group through the discussion.
