Intelligent Agents
Intelligent Agents are used to automatically email/alert a student, instructor, etc. when pre-defined conditions have been met. These can be set up for many situations as they can be set up for various conditions before initiating an email/alert.

Things to Consider
Intelligent Agents do not send emails automatically after a condition is met (for example, a student gets a 60% score on a quiz). Instead, an Intelligent Agent will check for criteria at the scheduled time you choose OR when you run it manually.
Use Intelligent Agents sparingly–if students receive too many emails, they will just ignore your emails and the notifications will lose their effectiveness.
If you’re copying components from one course to another, each Intelligent Agent will be copied over, However, the settings of each agent will not be copied.
If you are exporting a course, Intelligent Agents are not included as part of the course export package.
Examples of Uses
Emailing students to welcome them at the start of the term
Emailing students when their grades reach below a certain level.
For example: Hello John. I see that your Intro to Business grade is at a D average. Please contact me soon so we can discuss your situation.Running a check for students who haven’t accessed the course within a set number of days. You can email the student and cc yourself as a notification measure.
For example: Hello Jane. You registered for the Business Law class, but I noticed that you haven’t accessed the course for 7 days.Sending yourself an email when a student submits a Dropbox assignment in your course.
Emailing students after they view the content.
For example: Hi Jill. I saw that you have viewed the Getting Started module in the Principles of Management course. Don’t forget to take the syllabus quiz before moving on to the next module.
Creating an Agent
On the navbar, click Course Admin.
Click Intelligent Agents > New.
On the Agent List page click New.
In the Agent Details area, enter a name and description.
If you would like the agent to be active select Agent is enabled.
In the Agent Criteria area, do one of the following:
If you want your agent to target users' login habits, in the Login Activity section, fill out your criteria.
If you want your agent to target users' course habits, in the Course Activity section, fill out your criteria.
If you want your agent to run when a specific condition has been met in the Release Conditions area, do one of the following:
- Click Attach Existing, then select the check box for any condition you want to attach. Click Attach.
- Click Create and Attach, then select a Condition Type from the drop-down list. Complete any additional Condition Details
that appear and click Create.
In the Agent Action area, do the following:
Select how often you want the agent to take action.
If you want to schedule how frequently Brightspace evaluates the agent criteria, select the Use Schedule check box. Click Update Schedule
and set your scheduling details.In the Email Format area, enter your email details.
IMPORTANT: To email only the users that meet the criteria of the agent, utilize replace strings. As an example:
To email students that meet the criteria, enter {InitiatingUser} in the To field
Click Save and Close.
Enable an Agent
After a copy from another course, Intelligent Agents are disabled by default. This means you must enable them to work in your new course! Luckily, the steps to do this are pretty simple.
On the navbar, click More Tools -> Intelligent Agents.
You will notice an 'X' icon next to your agents that are disabled. This means they will not run until they are enabled!
Click on the checkbox next to each agent you want to enable.
Choose the 'Enable' button at the top of the agent list.
Changing the 'Reply To' Address for an Intelligent Agent
Add a personal touch by setting the Name for the email and the reply-to email address if you want to receive replies. This is recommended practice!
In your course, navigate to 'More Tools' and then 'Intelligent Agents'
Just below the blue navigation bar there is a blue settings link. Click on that.
Choose the radio button for 'Set custom values for this course'
Enter the 'Name that emails come from' and the 'Reply-To address for responses'

FAQs
Can I copy an Intelligent Agent to another course?
Yes, however, agents are disabled by default when they are copied. You will need to manually enable each agent that you copy from one course to another.
Why is my Intelligent Agent emailing students before the course starts?
If you enabled your Intelligent Agent(s) before the course start, you may have parameters that are being met by the students not participating in class yet since they do not have access. It is recommended to not enable your agent(s) until after the course has started.
