Rental Tracker ("we", "our", "the app") is an Android application designed to help small businesses, equipment rental shops, party supply rentals, and individual operators manage their equipment inventory, customer records, rental check-out and check-in operations, maintenance schedules, and damage reports. This Privacy Policy explains how we collect, use, store, and protect your information when you use our mobile application.
By using Rental Tracker, you agree to the collection and use of information as described in this policy.
## 2. Information We Collect
### 2.1 Information You Provide
You voluntarily enter the following information into the app to manage your rental business operations:
**Equipment information:**
- Equipment name, description, brand, model, and serial number
- Daily and hourly rental rates
- Purchase price and purchase date
- Condition (Excellent / Good / Fair / Poor)
- Status (Available / Rented / Maintenance / Retired)
- Photos of equipment
- Notes and category tags
**Customer information:**
- Customer name, phone number, email address, and physical address
- Photo of identification document (when uploaded by you)
- Personal notes about the customer
- Customer rental history
**Rental records:**
- Equipment and customer associations
- Check-out date, due date, and check-in date
- Daily rate, total amount, and deposit amount
- Equipment condition at check-out and check-in
- Notes related to the rental
**Maintenance records:**
- Maintenance type (Routine, Repair, Inspection)
- Description and notes
- Cost
- Performed date and next due date
- Photos and scanned documents (receipts, invoices, work orders)
**Damage reports:**
- Description of damage
- Repair cost
- Photos of damage
- Reported date and resolution status
### 2.2 Information Collected Automatically
When you use the app, the following information may be collected automatically:
- **Crash reports** — when the app crashes, anonymous diagnostic information (device model, OS version, stack trace) is sent via Firebase Crashlytics to help us identify and fix bugs
- **Anonymous usage analytics** — aggregated app usage data via Firebase Analytics (e.g., features used, sessions, app version) to help us improve the app
- **Advertising identifiers** — Google AdMob may access device advertising identifiers to display ads in the free version
### 2.3 Information We Do NOT Collect
- We do **not** collect your precise or approximate location
- We do **not** access your contacts list
- We do **not** access your microphone
- We do **not** use authentication or sign-in (no email/password collected by the app itself)
- We do **not** sync or upload your business data to any cloud service
## 3. How We Use Your Information
We use collected information solely to:
- Provide core app functionality (equipment, customer, and rental management)
- Display rental history, maintenance schedules, and damage reports
- Calculate rental durations, totals, and deposits
- Show equipment status and availability
- Generate reports for your records
- Display relevant advertisements in the free version
- Process subscription purchases via Google Play Billing
- Diagnose and fix crashes and bugs (via Firebase Crashlytics)
- Improve app performance and feature quality (via Firebase Analytics)
## 4. Data Storage and Security
### 4.1 Local Storage
**All your business data is stored locally on your device** using a private SQLite database (Room). This includes:
- Equipment, customer, rental, maintenance, and damage records
- All photos you add to the app (stored in the app's private internal storage)
- App settings and preferences
Your business data **never leaves your device**. We do not have access to it, and it is not synchronized to any cloud service.
### 4.2 Photos
- Photos are captured or selected only when you explicitly choose to add them
- Photos are stored in the app's private internal storage on your device
- Photos are never uploaded to our servers or any third-party service
- You can delete photos at any time from within the app
### 4.3 Security Measures
- All network communication (analytics, crash reports, ads) uses HTTPS/TLS encryption
- Local data is protected by Android's standard app sandboxing — only Rental Tracker can access its own database and files
- Crash logs are anonymized and do not include the contents of your business records
## 5. Data Sharing
### 5.1 We Do NOT Sell Your Data
We do not sell, trade, rent, or share your personal information with third parties for marketing purposes.
### 5.2 We Do NOT Share Your Business Data
Your equipment records, customer details, rental history, maintenance logs, and photos are stored only on your device and are **never shared** with us, third parties, or other users.

- Free tier users see advertisements served by Google AdMob
- AdMob may use device advertising identifiers and approximate device information for ad personalization
- You can opt out of personalized ads through your device settings (Settings → Google → Ads → Opt out of Ads Personalization)
- Premium subscribers see no advertisements
## 6. Photos and Customer ID Documents
- Photos (including customer ID documents) are stored only in the app's private internal storage on your device
- Photos are never uploaded to our servers or transmitted over the internet
- You are responsible for obtaining proper consent from your customers before storing their photos or ID documents in the app
- You should comply with applicable laws regarding the storage and processing of customer personal information (e.g., GDPR, CCPA, local data protection laws)
- You can delete any photo at any time from within the app
- Uninstalling the app permanently deletes all locally stored photos
## 7. Children's Privacy
Rental Tracker is intended for adults operating equipment rental businesses and is not directed at children under the age of 13. We do not knowingly collect personal information from children. ## 8. Your Rights and Choices
### 8.1 Access and Control
- You can view, edit, and delete any data you have entered, at any time, directly within the app
- All data is stored locally — no account or sign-in is required
- You can use the app fully offline
### 8.2 Data Deletion
- You can delete individual records (equipment, customers, rentals, maintenance, damage reports, photos) within the app
- **Uninstalling the app permanently deletes all locally stored data, including all photos**
- Since we do not store any of your business data on our servers, there is nothing for us to delete on our side
### 8.3 Ad Preferences
- Premium subscription removes all advertisements
- You can opt out of personalized ads via device settings (Settings → Google → Ads)
### 8.4 Disabling Crash Reports and Analytics
You can disable Firebase Crashlytics and Analytics collection by uninstalling the app. The app does not provide a separate in-app toggle to disable these services, but they collect only anonymous diagnostic and usage data, not your business records.
## 9. GDPR Compliance (European Users)
If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, you have the following rights under GDPR:
- **Right to access** — request information about what personal data we hold about you
- **Right to rectification** — correct inaccurate data (you can do this directly in the app)
- **Right to erasure** — uninstalling the app deletes all locally stored data
- **Right to restrict processing** — disable analytics and crash reporting by uninstalling
- **Right to data portability** — export your data via the app's CSV/PDF export features
- **Right to object** — object to data processing for advertising via Google's ad settings

## 10. Customer Data Responsibilities
Because Rental Tracker stores customer information (names, phone numbers, email addresses, ID photos), **you act as the data controller** for that information under GDPR and similar privacy laws. You are responsible for:
- Obtaining proper consent from your customers before storing their personal information
- Informing customers about how you use their data
- Honoring customer requests to access, correct, or delete their information
- Complying with applicable data protection laws in your jurisdiction
- Securing your device with a screen lock to prevent unauthorized access to customer data
We provide the tool, but the lawful collection and use of customer information is your responsibility as a business operator.
## 11. Data Retention
- Local data is retained on your device until you delete it within the app or uninstall the app
- Firebase Analytics data is retained per Google's standard retention policies (typically 14 months)
- Firebase Crashlytics crash reports are retained for approximately 90 days
- AdMob data is governed by Google's privacy policies
## 12. Subscription and Billing
- The app offers a free version supported by ads, and a premium version (monthly, yearly, or lifetime) that removes ads and unlocks additional features
- All purchases are processed by Google Play Billing — we never see or store your payment details

- You can manage or cancel subscriptions at any time through your Google Play account
