Cash Count ("we", "our", "the app") is a cash drawer reconciliation and counting application designed for retail businesses, restaurants, and any
cash-handling operations. This Privacy Policy explains how we collect, use, store, and protect your information when you use our mobile application.
By using Cash Count, you agree to the collection and use of information as described in this policy.
2. Information We Collect
2.1 Information You Provide
When you use Cash Count, you may provide the following information:
- Employee/Cashier information: Names, roles (cashier or manager), and optional PINs for access control
- Cash register/drawer details: Register names and location descriptions
- Cash count data: Starting cash amounts, denomination quantities (bills and coins), expected and actual totals, variance amounts, variance reasons, and
session notes
- Transaction records: Sales, refunds, and payout amounts logged during a shift
- Safe drop records: Amounts dropped to the safe during a shift
- Contact form submissions: Category, subject, and message text when you contact us for support
- Google account information: Email address and display name when you sign in for cloud backup
2.2 Information Collected Automatically
- Device information: Device model, manufacturer, and Android version (collected for crash reporting)
- App usage analytics: Screens visited, feature usage patterns, and session duration
- Advertising identifiers: Device advertising ID for serving advertisements (free tier only)
- Crash and error logs: Stack traces and device state at the time of a crash
2.3 Information from Third-Party Services
- Google Sign-In: Email address, display name, and authentication token (only when you choose to sign in for cloud backup)
3. How We Use Your Information
We use collected information to:
- Provide cash counting, reconciliation, and variance tracking functionality
- Store and display your count history, statistics, and reports
- Assign counts to specific cashiers and cash drawers for accountability
- Generate PDF and CSV reports for sharing with managers or bookkeepers
- Back up and restore your data across devices via cloud sync (when signed in)
- Send end-of-shift reminder notifications (when enabled)
- Display advertisements to free-tier users
- Process premium subscription purchases
- Monitor and fix app crashes and improve performance
- Respond to support inquiries submitted through the Contact Us form
4. Data Storage and Security
4.1 Local Storage
- All cash count data, employee records, register information, transactions, and safe drops are stored locally on your device in an encrypted SQLite
database (Room)
- App preferences and settings are stored locally using SharedPreferences
- Generated PDF reports are stored temporarily in the app's private storage for sharing
4.2 Cloud Storage
- Cloud backup is optional and requires you to explicitly sign in with Google
- If enabled, your data is stored on Google Firebase Firestore servers
- Cloud data is organized under your unique user ID and is only accessible with your credentials
- Backup data includes: cash counts, denomination entries, employees, registers, safe drops, and transactions
- A user profile (UID, email, display name) is stored for identification and GDPR data deletion requests
4.3 Security Measures
- All network communication uses HTTPS/TLS encryption
- Cloud data is encrypted in transit and at rest on Firebase servers
- Cloud data is protected by Firebase security rules (isolated per user account)
- Authentication is handled via Google Sign-In (industry-standard OAuth 2.0)
- Optional biometric lock (fingerprint or face ID) protects app access on device
- Optional employee PINs provide an additional layer of access control
- No passwords are stored by the app (authentication is delegated to Google)
5. Data Sharing
5.1 We Do NOT Sell Your Data
We do not sell, trade, or rent your personal information to third parties.

5.3 Ad Personalization
- Free-tier users see advertisements served by Google AdMob
- AdMob may use device identifiers and usage data for ad personalization
- You can opt out of personalized ads through your device settings
- Premium subscribers see no advertisements
5.4 Report Sharing
- PDF and CSV reports are shared only when you explicitly choose to share them using Android's share functionality
- Reports are not automatically transmitted to any server or third party
6. Financial Data
6.1 Cash Count Information
Cash Count processes financial information related to cash drawer management:
- Cash amounts, denomination breakdowns, and variance calculations
- Transaction records (sales, refunds, payouts)
- Safe drop amounts
6.2 Financial Data Protection
- Financial data is stored locally on your device by default
- Cloud sync of financial data is optional and requires explicit sign-in
- Financial data is never shared with advertisers or marketing partners
- Financial data is never used for credit scoring, lending, or any financial services
- We do not process any payment card or bank account information
6.3 Subscription Payments
- Premium subscription payments are processed entirely by Google Play Billing
- We do not collect, store, or have access to your payment card details
- Purchase history is managed by Google Play
7. Children's Privacy
Cash Count is a business tool not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If we
discover that a child under 13 has provided us with personal information, we will delete it promptly.
8. Your Rights and Choices
8.1 Access and Control
- You can view all your data within the app at any time
- You can edit or delete any employee, register, count, or transaction record
- You can export your data as PDF or CSV reports for your records (premium feature)
8.2 Account and Data Deletion
- You can sign out of cloud sync at any time from Settings
- You can clear all local data from Settings > Clear All Data
- Uninstalling the app removes all locally stored data

8.3 Notifications
- End-of-shift reminders are off by default
- You can enable, disable, or change reminder times in Settings
- You can disable notifications at any time through app Settings or device Settings
8.4 Biometric Lock
- Biometric authentication is optional and can be enabled or disabled in Settings
- Biometric data is processed entirely on your device by the Android system — we never access or store biometric data
8.5 Ad Preferences
- Premium subscription removes all advertisements
- You can opt out of personalized ads via device settings (Settings > Google > Ads)
9. GDPR Compliance (European Users)
If you are located in the European Economic Area (EEA), you have additional rights:
- Right to access — request a copy of your data
- Right to rectification — correct inaccurate data
- Right to erasure — request deletion of your data
- Right to restrict processing — limit how we use your data
- Right to data portability — receive your data in a portable format
- Right to object — object to data processing for marketing
The app uses Google's User Messaging Platform (UMP) to obtain consent for data processing and personalized advertising in compliance with GDPR.

10. Data Retention
- Local data is retained until you delete it, use the "Clear All Data" option, or uninstall the app
- Auto-purge: You can configure automatic deletion of old records after 30, 90, 180, or 365 days in Settings
- Cloud backup data is retained as long as your Google account is connected
- Analytics data is retained per Google's standard retention policies (14 months)
- Crash reports are retained for 90 days
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by:
- Updating the "Effective Date" at the top of this policy
- Posting a notice within the app
Your continued use of the app after changes constitutes acceptance of the updated policy.
