## Summary
ClubKit is an offline, organizer-only record-keeping app for running a club, society, or association. **The information you enter about your club and its members is stored only on your device.** We do not have a server that receives your club data, we do not require an account, and we do not sell your data or your members' data to anyone.
The only information that ever leaves your device is: anonymous crash/analytics diagnostics, advertising data (unless you buy the ad-free upgrade or decline personalized ads), purchase confirmation through Google Play, and — **only if you choose to use the optional AI announcement helper** — the announcement text you ask it to draft. Details below.
ClubKit does not process, hold, or transfer money. It is a record book, not a financial service.

## Information the App Accesses
### 1. Data you enter (stored locally only)
As the club organizer you enter and store, **on your device only**:
- **Member details:** names, and optionally photos, phone numbers, email addresses, roles, tags, membership status, and notes.
- **Dues and payments:** dues periods, amounts, payment method (cash/bank/mobile-money/other), dates, and notes — recorded by you for your own bookkeeping.
- **Sessions and attendance:** meeting dates, locations, and present/absent/excused marks.
- **Announcements** you compose, and your groups and their settings.
This data lives in a private database and in private files on your device. It is **not uploaded to us or to any cloud service.** It is included in the local backup/handover file only when *you* choose to export it, and it is removed when you delete the record, or when you uninstall the app.
You are the person who collects this information from your members. You are responsible for having their permission to keep it and for handling it in line with any local rules that apply to your club.
### 2. Advertising data
The free version shows ads through **Google AdMob**. AdMob may collect device identifiers and usage data to serve and measure ads. On first launch you are asked (via Google's consent form) whether to allow personalized ads; you can choose non-personalized ads. Buying the one-time Premium upgrade removes all ads.
### 3. Purchase data
Premium is a one-time purchase processed by **Google Play Billing**. We never see or store your payment-card details; Google handles the transaction and shares only a purchase confirmation token with the app.
### 4. Crash and analytics data
The app uses **Firebase Crashlytics** and **Google Analytics for Firebase** to record anonymous crash reports and basic, aggregated usage events (for example, that a screen was opened). These reports do **not** include your members' names, photos, phone numbers, dues amounts, or any club records.
### 5. Optional AI announcement helper
If — and only if — you tap the optional "AI draft/polish" button while writing an announcement, the **announcement text you typed** is sent over a secure connection to our AI service (Google's Gemini model, reached through a Cloudflare Worker that holds the API key) to generate a suggested wording, which is returned to your device. We do **not** send your member list, contacts, dues, or payment records to this service — only the announcement text you chose to have drafted. If you never use this button, no data is sent. This feature can be left unused entirely.

## Permissions the App Requests
- **Internet / Network state** — to load ads, send anonymous diagnostics, process purchases, and (only when you use it) contact the AI announcement helper. Your club records are not sent over the internet.
- **Notifications (POST_NOTIFICATIONS)** — to show the dues and meeting reminders that you enable. You can decline this and the app still works.
- **Run at startup (RECEIVE_BOOT_COMPLETED)** — to re-schedule reminders you enabled after your device restarts.
- **Vibrate** — for light haptic feedback on taps.
ClubKit does **not** request Camera permission. When you add a member photo, the app hands off to your existing camera or gallery app to take or pick the picture; the resulting image is stored privately on your device.

## Third-Party Services
The app relies on these services, each with its own privacy policy:
- **Google AdMob / Google Mobile Ads** — advertising (free version).
- **Google Play Billing** — one-time purchase processing.
- **Firebase Crashlytics & Google Analytics for Firebase** — crash and anonymous usage diagnostics.
- **Google Gemini API (via a Cloudflare Worker)** — only for the optional AI announcement-drafting feature, and only for the text you submit to it.
## Data Sharing and Selling
We do **not** sell, rent, or trade your data or your members' data. We do not share your club records with advertisers or any third party. The limited data described above is processed only by the service providers listed, only for the purposes described.
## Data Retention and Deletion
Your club data stays on your device until you delete it. You can delete individual members, payments, sessions, or groups inside the app, use the in-app "Clear data" option, or **uninstall the app**, which removes all locally stored club data. Because we hold no copy of your club data on any server, there is nothing for us to delete on our side. For questions about crash/analytics diagnostics, contact us at the email below.
## Children's Privacy
ClubKit is intended for adults who organize clubs and is not directed at children under 13 (or the equivalent age in your country). We do not knowingly collect personal information from children.
## Your Choices
- Decline notification permission — reminders simply won't show.
- Choose non-personalized ads through the consent prompt, or remove ads with the one-time Premium purchase.
- Skip the AI announcement helper so no text is ever sent off-device.
- Delete any record, or uninstall the app, at any time.
## Security
Your club data is stored in the app's private storage area, which other apps cannot read. Network requests to the services above use encrypted (HTTPS) connections. No method of storage or transmission is 100% secure, and you are responsible for the physical security of your device.
## Not a Financial Service
ClubKit records dues and payments for your own bookkeeping. It does **not** collect, hold, transfer, or manage money, does not connect to any bank or payment network, and does not provide financial, tax, or legal advice. Receipts and reports produced by the app are informal records, not official or legally binding documents.
## Changes to This Policy
We may update this policy as the app evolves. Material changes will be reflected by updating the effective date at the top of this page. Continued use of the app after an update means you accept the revised policy.
