Summer fun day July 17th

Welcome to our newsletter all about the fun day on 17th July, held at Didsbury Sports Ground on Ford Lane, M20 2RU. Free entry!

It's been SIX months in the planning but finally SUNDAY is FUN DAY. Full details for bakers, fun runners and how to plan your day are below. It's shaping up to be an amazing day but given the forecast we will need everyone's help to make it an event to remember for all the right reasons!

The Weather - come prepared to manage the heat (see today's letter from school about helping children cope in hot weather)

Two weeks ago we thought we might cancel for rain. Now we have a different problem; extreme heat. We really want you to enjoy yourself so we've done all we can to manage things as part of our risk assessment, but we will need your help to keep everyone safe and happy. Plan your day around the schedule below and remember:

  1. sun cream

  2. hats

  3. refillable water bottles - drink lots!

  4. spritzers, cool boxes, even your own gazebo

  5. use the shade of the trees.

  6. pace yourself - there's plenty to do so take your time to explore

Every stall has it's own gazebo and we will try to keep queues moving. But do bear in mind we are all volunteers so if a queue is slow, offer to help or come back later.

We have St John's ambulance in attendance. If you feel unwell they will help you. Look out for one another - if you think someone is unwell get help.

BOUNCY CASTLE SAFETY

Please ensure your child does not get heat exhaustion on the bouncy castle by managing the time they spend on it throughout the day and staying with them when they are on it.

Volunteer info - THANK YOU!!

We are just finalising the volunteer lists and everyone who has messaged to say they can help will be contacted with information by Saturday morning. THANK YOU for helping - we really can't put on an event of this scale without you. General info about volunteering is here in the meantime https://sites.google.com/view/beaverroadptaupdates/volunteer-general-info-2022

Practical info

Parking at the ground is EXTREMELY limited and we will have reserved bays for entertainers, disabled access or for emergency service access. Please respect this. If you can please walk to the club, otherwise park on one of the streets near by. It's really important we manage parking to allow for emergency access, even more so given the heat.

Bouncy castle wristbands - you can collect these after school on Friday at the main entrance of the first school or on the day. Bear with us as there may be queues. You can also buy on the day.

Bouncy castle safety - BRING SOCKS!

Given the predicted heat, we need to ensure children don't get heat exhaustion. Please ensure they drink lots and manage the amount of time they spend on the castles throughout the day. It's a good idea to wear socks to manage any hot spots.

Please also ask them to look out for one another. We will have spotters but we would like parents to help with this too as it's a big responsibility for volunteers.

Wristbands give you access to a giant inflatable obstacle course, a giant slide and for under 4s a smaller bouncy castle. We'll run 15 minute slots and they will be marked by a bell ringing at changeover times. If you need to pull your child out early then do.

Lost child - Children are your responsbility. There are lots of exits from the site, so please keep an eye on children at all times.

There will be a campervan parked on the field. Use this as your lost child point. It's manned by the PTA committee members.

MONEY

There isn't a cash machine so bring lots of change with you (pricing below). We intend to have card readers up and running for the BBQ, wrist bands and crazy golf (pray the technology gods are kind to us!). We will also have stamp cards - you can use your debit card to buy £5 or £10 token cards. You can then get your card stamped 5 or 10 times. When your card is full you'll be able to swap it for a free go.

With the exception of pizza and the bar, all the money you spend comes to the PTA in total or as part of a revenue share.

Information for Fun Runners

Check in and start

Please arrive at the fun run tent anytime from 10.30 to check in - you’ll see a big board with the word ‘registration’ on it.

Then find some shade by the trees to stay cool and be back ready to run at 11 when Mrs Hardy will count you down.

What to expect:

You’ll do two laps of a 500m circuit, marked with cones. Volunteers will be on the course to guide you.

Your grown up can do it with you or support you from the course sidelines.

When you finish we’ll give you your medal.

Fundraising

We’d love you to raise money for the school and the foodbank which supports some Beaver Road families, especially children during the holidays.

Go to JustGiving.com and log in or set up an account

1. Start fundraising

2. Select ‘A charity’. Search for ‘Beaver Road PTA’

3. You’ll see our fun run page come up in the list. Select it

4. Then choose ‘doing my own thing’

5. Then fill in the run event details and select ‘no’ to the two tick boxes and then hit ‘create your page’. You can then share the link to the page with friends and family.

We’ll donate 50% to the foodbank.

James from Gascoigne Halman and Jen Savaris and Gemma Martin from Perry’s Pantry will present the sporty prizes to the person who raises the most money and for best costumes.

It’s going to be hot so here are some tips:

1. Drink lots of water on Saturday and on Sunday morning

2. This isn’t a race and there are no prizes for being first - take your time. You’re only competing against yourself so just have fun doing it, don’t exhaust yourself.

3. We’re looking forward to seeing everyone’s fancy dress but make sure you won’t over heat in your costume if you’re wearing one. You can always show us your costume and change before you run.

4. Please think about wearing a cap and make sure you bring a water bottle. We’ll have a table set up to leave it on.

5. If you feel poorly or uncomfortable stop and find a person wearing a high viz jacket. We won’t mind if you decide to just do the course once.

Bake-off Info

Registration

Please bring your bake to the long white bake off tent near the club house from 10.30.

You’ll need to sign in to be given a number. Put this on the lid of your tin. This anonymises your entry and helps us get your tin back to you.

Leave your bake on the table for your category.

Judging starts at 11 and we hope to announce winners at 12. We’ll do this over the loud speakers so listen out.

Remember to keep everyone safe please don’t use nuts/sesame, alcohol or gelatine.
