Chair report 2018/19

This year the Beaver Road PTA raised a record £17,000. A detailed breakdown is in the Treasurer’s report, but the highlights were undoubtedly the Christmas fair, including raffle and associated events, and the summer fun day and raffle. Together they raised around 75% of the funds.

These events were successful because they put the ethos of the PTA at the heart of them. Namely to create events that bring the community together to have fun and raise funds for resources that the school wouldn’t otherwise be able to afford.

The remaining funds were raised by repeating popular events such as the disco, quiz night, Easter egg hunts and colouring competitions. These provide children and their parents/carers with fundraising formats they are already familiar with and a choice in terms of participation and expense.


However, to keep things fresh we have trialled new events such as film nights, which represent a fun, yet easy and repeatable way to raise money. Having proved the concept, film nights will be a regular fixture this coming year.


We have also unlocked the skills of our parent teacher community and offered new events such as Krav Maga for adults, and a Taste of Eid food event. Both were suggested and run by volunteers and were popular and very successful in their own right, so we plan to repeat these and introduce art, cookery and sewing classes, and include more world food at events this coming year.


Finally, we have made existing relationships with third parties work harder. A good example is the Mothers’ Day primrose and bedding plant sale. By improving our communication, we doubled our order with the supplier without putting up prices.


This coming year we intend to repeat this approach with the Christmas card fundraiser and will introduce new ideas such as an exciting personalised Fathers’ day offer, and a family portrait promotion.


Behind the scenes we have taken steps to improve operational efficiency and make the running the of the PTA easy for successors to pick up in 2020. We now exclusively use an online ticket and volunteer system, which is GDPR compliant, and we’ve introduced a web-hosted newsletter. These have helped to save paper resources, money and time, and improved communication and engagement. We have also actively sought to grow the committee membership and have welcomed Gemma and Dawn to the team. We continue to welcome new members, and hope to re-establish a group of class reps this year.


Other improvements include reviewing our stock holding more closely and scrutinising purchasing decisions and volumes, reducing sugar consumption so children can get a treat at events but in a more controlled way, and moving towards more sustainable practices such as recycling and washing up after events, buying eco crockery, as well as improving access to second-hand uniform at coffee mornings. Our intention is to introduce more sustainability measures and become a Terra Cycle centre for the community in the coming year.


It goes without saying, that none of our success would be possible without the generosity of parents, carers and teachers who make time to volunteer, the financial donations from parents, including the many business owners who support events with prizes and resources, and our newly expanded committee. Our sincere thanks for your enthusiasm and support.


We believe the Beaver Road PTA is in a strong position to achieve even greater things in 2019/20, and most importantly continue investment in much needed play and learning facilities.

Beaver Road PTA Treasurer’s Report 2018/2019

AGM 2.30 Monday 11th October

The opening bank balance was £2140.42 on 15th Nov 2018

Closing bank balance 5th September 2019 £17959.45

During the period 15th Nov 2018- 31st August we raised £16855.09

Our costs were £6016.19

We spent

£759 Playground equipment for break and lunchtime for both schools

This met our charitable objectives as set out in the constitution to advance the education of the pupils in the school.

£450 given to year 6 for end of year event

If we leave an operational £2000 in the account we have £15959.45 available to spend.

This has been a record year of fundraising for Beaver Road PTA. We have tried out new ideas and reached out to the parents in our community.

Our aim for 2019-2020 is £20000.
