God is a God of order and reason and it is His plan that people are settled and secure having considered and planned to provide adequately for present and future needs.
In accordance with National Administration Guidelines 3 and 4 and other sources quoted in Section F of the Handbook for Schools (ERO 1996), Southland Adventist Christian School has a commitment to meet the legislative and regulatory obligations on financial and property matters to:
Reflect the School’s Charter priorities
Ensure a safe and healthy learning and working environment
Maximise the benefits to students through adequate budget allocations and prudent control of financial and property assets
Provide accurate and current information about the School’s finances
In consultation with the Principal and administrative staff, the School Board will develop and follow:
Procedures for all financial transactions
A clear system and timeline for developing a budget
A programme for maintaining and replacing other assets (furniture, equipment and resources.)
Procedures for compliance reporting annual reports and audit statements
The School Board can seek the financial support of parents through fund-raising activities.
While the School Board is opposed in principle to borrowing money, it will consider each proposal on its merits provided it conforms to regulatory limitations and gains Ministry of Education approval.
In consultation with the Principal and executive staff the School Board may approve enterprise activities for profit. The School Board is committed to other policies and will only approve or support activities that conform to such policies.
School Credit Card
Southland Adventist Christian School has a zero-limit Mastercard Credit Card. The following steps are required to ensure Credit Card use is secure and transparent:
This Credit Card is only to be used by the authorised user whose name appears on the card
The most recent Credit Card statement/s will be presented to the Board of Trustees at every meeting
Invoices/receipts for any Credit Card purchases are to be submitted to the Office Administrator to be collated with the other school accounts
Spending using the Credit Card is to be in line with the Budget which has been approved by the School Board
Cash Management
A petty cash float of $200.00 is kept in a locked tin which is used for the purchase of inexpensive items with receipts kept for reconciliation of the petty cash float.
All items with relevant details are listed in a book and the current balance calculated after each receipt is recorded.
The float is topped up when necessary using the school credit card - withdrawing a maximum of $200.
