RATIONALE
To facilitate the prompt collection of fees as an important component in the ongoing operation and long term viability of our school system.
PURPOSE
To provide parents/caregivers/payers, staff, and the School Board with clear guidelines and procedures for the collection of school fees.
To ensure that money owed is invoiced and collected promptly, ensuring a firm financial footing resulting in continued educational opportunities for the children.
GUIDELINES
Fees will normally be set during the October meeting of the School Board, The Proprietor shall set the Attendance Dues and the School Board shall set the Bus Fee (refer to the Bus Procedure and Responsibilities for details about the Bus Fee Payments) and any other relevant payments.
The school Office Administrator under the direction of the Principal shall monitor the payment of fees, keeping a separate ledger for each parent/payer and shall follow up where necessary with those responsible for payment.
Parents/payers shall be sent an invoice for the fees within the first week of each new term. These accounts are payable immediately and are expected to be paid in full by Friday of the second to last week of the current school term.
Automatic payments may be set up for those who wish to pay in this manner or to assist those experiencing budgeting difficulties. All parents/payers paying fees by this method must do so in a consistent manner, acceptable to the school, which will result in all fees being paid in full by Friday of the second to last week of the current school term.
A letter will be sent out at the beginning of the year explaining our Policy and Fees structure along with payment options.
A letter and invoice of overdue accounts will be sent out at the beginning of the final week of the current school term. This letter will:
State that if the account is not paid in full by the final Friday of the upcoming school holidays, the matter will be passed on to debt collection for the collection of any compulsory fees outstanding; and
Advise that the pupil will be withdrawn from extra curricula activities funded by compulsory fees and in particular, where the Bus Fee is outstanding, the pupil will not be permitted to use the school bus as from the beginning of the next school term.
GENERAL
The School Board may at its discretion vary the implementation of the above procedures and the Principal may refer any matter relating to the procedures to the School Board for its consideration.
