Important - this guidance is for the first time an audit has been conducted on a site. If you are re-auditing a site please follow the guidance on the 'Re-auditing sites' article.
The three Steps for a new audit are:
Set Up the Audit
2. Fill in the Audit
3. Publish the Audit
4. Modifying task priorities (if required)
Please see the 'Audit Scoring Explained' article on the Knowledge Base. It is not essential that site managers fully understand the scoring mechanism but it is important that you do as auditors.
To complete an audit - navigate to your audit dashboard then inbox > manage > select Audits from the sidebar.
Click on +New in the top right corner
Then select the appropriate audit template from the next screen by clicking '+continue'
On the next screen, search for the site that you want to audit:
Confirm you want to audit this site:
You will now be on the manage audit page. Click on edit in the top right:
On the next screen leave all values as the default and scroll down to the submit interval.
Here change the interval depending on how often the site is audited, if it's just once change this to 12 months.
Change the lead time to 1 month - this will generate a 'to do' task in your audit dashboard's inbox when it is due - i.e. the audit date + schedule period - lead time.
Feel free to vary that to what you want.
Scroll down and click on +Save Audit
On the next screen click on 'Fill in' in the top right hand corner
You will now be on the audit page - there are some helpful links at the top of the audit to assist you:
Note you can use the 'next question' to move to the next unanswered question when filling out the audit and 'Toggle All' collapses or expands each section.
Remember to click the 'Save Draft' regularly.
Good practice is after completing a section.
This is on the floating bar at the bottom of the page:
You can check the score of the draft audit from the bottom of the page where it also shows a progress indicator:
For each question score as appropriate:
2 = fully compliant
1 = partially compliant
0 = non compliant
-2 = non compliant and it's so bad you want to add an additional penalty (it doubles the negative affect of being non compliant when the score is calculated)
TIP - you can use 2,1, 0 and - keys to score, and it will move to the next question.
To comment or add photos, use the comment section beneath the question. (You can drag and drop photos in).
Clicking the formatting button allows you to format your text.
H1, H2 and H3 are headings.
Note that you can add hyperlinks to comments. Just copy the link and paste it over text. Or just drag and drop the web address.
If you want to add an additional manual action to cover a point that is not on the audit template, scroll down to the bottom of the page and click on 'Add Manual Action'
Fill out the action details and then click 'add manual action' at the bottom
When you are ready to publish the audit scroll down to the bottom of the audit and hit the Publish button (cancel here returns you to the audit admin screen) then confirm on the next screen:
Note - an audit cannot be changed once live
By all actions (apart from manually added ones) will have a default severity (normally major) If any actions are urgent they should be changed to critical severity. Similarly if any are not that urgent you can change them to minor severity.
If the manager has subscribed to audit emails - ie this subscription option:
The will get an email like this:
The linked task will look like this:
There is one parent task with the audit information on.
All issues noted in your audit will show as sub tasks.
