Please track and update appearances in the "audience development" airtable base, "promo appearances" tab.
We typically have approximately 1 appearance per month and generally, those come to us without us needing to solicit them. However, we want to eventually ramp that up and we do need to be doing proactive outreach to media makers to ensure we hit our approximate goal of 1 per month. Before and during fundraising campaigns it is even more vital.
Use the brainstormed list to reach out (via email or social media).
Here's a template:
Good morning, {Name}!
I am reaching out for Matter News about discussing and arranging appearances to talk about the work we do as a non-profit, local news org. We’re currently covering several very important issues to the local community, Policing and also Development. For example, our most recent issue features the psychological impact of Columbus Police’s helicopters. If this interests you, please don’t hesitate to email back. I look forward to your correspondence.
Warmest Regards,

Matter News & Grey Matter Media
This happens a ton of different ways. It often happens via a cofounder or through someone reaching out to our email or social media. Once again, it can and should sometimes originate with us.
Ask how many they prefer/can accommodate, as we have a few cofounders/editors who can speak on Matter, the local news industry, and/or our investigations.
All potential appearances will be posted in Engagement Slack channel and all cofounders tagged, suggest the interviewee subject (based on round robin), and asking if they have capacity/interest.
Rotating cofounders for interviews
Generally round robin, but sometimes will have to adjust to maintain a balance, because inevitably there will be appearances for which specific cofounders are most appropriate or specifically invited.
For quite some time, I will not do any interviews unless otherwise necessary until the balance of appearances evens out.
Note: try to avoid days we do not typically work, such as Sunday's. If a Sunday is the only day the show is recorded, then we can accommodate.
Ask them ahead of time if it’s live/all the way or edited
Get sleep and try to avoid being over-caffeinated, too high, tipsy, etc. You should be sharp!
If it is a live recording or event
Post about the upcoming episode on IG, Twitter, and Facebook
If it is not a live recording/event
It's not completely necessary to promote ahead, but it's not a bad idea either.
In some instances it will make more sense than others.
Add the content and the link to it to our LinkTree
Remove the 3rd oldest piece of content from the Linktree
So, we only want to feature the 2 most recent appearances on LinkTree. The most recent should be toward the top and the older one can be a little further down the list.
Post about the release on IG, Twitter, and Facebook once it gets released
You don't need to incorporate it into the social media publishing schedule, because we do those a month ahead and we ideally want to promote it when it drops.
Be sure to tag the content creator and their brand(s) and even include some info about their platform in the copy
We want to be sure we are cross-promoting and lifting up other creators and brands!
Hopefully, the content creator has something you can use for social media, such as a photo, graphic, or video clip
If not, work with the social media team to create a piece of content and incorporate it into the social media content creations schedule
