How do I authorise a shift swap?
Step 1: Select the Managing My Team tile.
Step 2: Navigate to the top navigation bar and select Rota, then choose Rotas from the dropdown menu.
Step 3: A pop-up window will automatically display any pending shift requests.
Step 4: Select Approve or Deny for the relevant shifts, then click Apply Actions in the bottom-left corner to save your changes.
How do you submit timecards to payroll?
Can I edit a timecard from the previous week?
Once a time card has been closed it cannot be edited. To ensure the team member is paid correctly for a missed shift, you must complete the Payroll Query form (NOTE: This is a Managers ONLY form).
I see a "shift collision" message when trying to enter hours on a timecard, what's wrong?
This error usually means shifts are overlapping. Check the timecard for the previous and following days. A common cause is a night shift that runs into the next day, or incorrectly entered hours from a previous shift.
Important Reminders:
Training Days: Please ensure that any scheduled training days are manually added to the rota whenever a team member is attending.
Minor Compliance (Under 18s): When scheduling team members under the age of 18, please ensure they are allocated two consecutive days off per week to remain compliant.
An employee is working shifts at my site but is based at another hotel. How do I add them to my rota?
The employee's primary Hotel Manager must go to the employee's 'Additional Roles' page on Connect. They need to add your hotel as a new site and then create an additional role for the employee at your site.
My employees have a yellow or green shifts on their rota, what does this mean?
This indicates the employee is still scheduled to work shifts at a different hotel, often their previous one if they recently transferred. The manager of the old site needs to unpublish and then re-publish that week's rota, which should remove the old shifts.
How do I share the finished rota with my team, and what should I do if I need to make changes after it’s been sent out?
To share the rota, simply select Publish while on the rota page. This makes the shifts visible to all team members and automatically sends them a notification to let them know it’s ready.
If you need to make updates after publishing, follow these steps:
Step 1: Select Unpublish: This allows you to edit the shifts again.
Step 2: Make Amendments: You can now make any necessary adjustments, such as ensuring all team members have reached their contracted hours.
Step 3: Save and Publish: Once you are finished, click "Save and Publish" again.
By doing this, the system will send a fresh notification to your team, alerting them that the rota has been amended and is ready for review.
An employee is missing from the rota, what should I check?
Check their contract: If they are on a Fixed Term Contract (FTC), ensure the end date has not passed or been entered incorrectly. This can be amended in 'Manage Assignments'.
Check their role: For permanent employees, check their 'Additional Roles' page to ensure an end date hasn't been mistakenly added to their Primary Role.
