Calendar Control

In a large institution like UWCSEA it is always a challenge to stay on top of what is happening, when and where.

The solution is to use Google Calendars, import your own timetable, and subscribe to the calendars for the area of college that you work in.

You can view your calendar directly from the Google Grid in GMail:

How to add your Timetable from CIMS

Login to CIMS, scroll to the bottom of the page, and click in the link in the bottom right corner that says 'Authorise to import Timetable to Google Calendar'. Agree to everything, now have a look at your calendar - all there.

You can edit these events to your preferences, when it asks to change all, choose all events, and it will change that event for that day of the week, every week, for the whole year. Having these in your calendar makes it much easier for other teachers to see when you are available, without requiring a torrent of emails from all involved.

Subscribe to Your School's Calendars

Each school has several calendars, you will need to be able to view them all to know what is happening. Some are for staff, some are for parents, some are relevant to everyone (Dover Campus) some only to one school. That is why you need to be subscribed to more than one.

You can access College Calendars on Happeo, where you can find the link to add any of the college Google Calendars you need.

To select certain calendars from different schools, scroll to the bottom right corner and click where it says +Google Calendar

Turn all Notifications OFF

You probably don't want all of the events you just imported from CIMS notifying you about what you are teaching next, you probably already know that... Here's how to turn off all Calendar notifications:


On your computer, open Google Calendar.

In the top right, click Settings Settings and then Settings.

On the left, click General and then Event settings.

Under “Event settings,” you can choose to:

Adjust Calendar Settings

You can adjust other settings as well.

  • Do you want to control who can see your calendar?

  • Some events to have notifications, but not others?

  • Receive notifications by email?

Check and change the settings for each calendar.

When viewing your calendars, click on the 3 vertical dots to open the settings.

You should set your calendar so other staff can view it, you can choose with calendars events make a *DING*. It's worth looking at the options here, adjust to your preference. Each calendar has it's own settings.

How can you tell if a member of staff is available?

Just type their staff code where it says 'Add a colleague's calendar' to view; just tick the box next to their name to switch it on/off.

How can I make certain events private?

Got an appointment you'd rather everyone does not know about?


Edit any event to control visibility, even if you've set your calendar to publicly visible, setting visibility to Private means all they will see is 'Busy' on your calendar.

Add a Calendar for College Week Numbers

It can be really useful to be able to see at a glance what the week number is in terms of our college calendar, so the Amazing Amanda Choy (Ben Morgan's PA) has created a Week Numbers calendar for this Academic Year.
