AI Productivity Tools

For productivity tooling, we have Google Gemini for all users with enterprise Google licenses - meaning almost all users who have a company computer. You can access this via https://gemini.google.com/app, and it has built-in features in most Google products like Docs, Sheets, and Slides. This is completely safe to use, as Google does not share data outside our setup, and we have a long-standing cooperation with them.  This should cover most, if not all, of the general AI productivity use cases. You should avoid using other AI tooling for these types of tasks.  

If you use tools other than Gemini, you should never put in data about our platforms, our business, employees, or our customers. Examples of tools would be ChatGPT or Perplexity.

AI tools need to access data, and without proper guardrails set in place, we do not know what happens with the information put into the tools. This is especially true for free products, where the data you put in is the price you pay for the usage. 

Apple Intelligence:

• This is a new built-in AI features being rolled out to newer Iphones and MacBooks and it runs on your local advice

• This AI tool is approved to use in your daily work in addition to the Google Gemini, if you get Apple Intelligence on your device. 

• Important reminder: Apple Intelligence does allowa you to use a ChatGPT-account also. However, this is not allowed when doing work for Oda or Mathem, as we should never share business information with free products or personal subscriptions. This is very important for company privacy and security.

As a general rule, we do not cover expenses for other AI tools. If there are specific cases where another tool delivers significantly more value than Gemini, or there is a use case where Gemini does not have the tools,  you should discuss it with your manager or in your discipline and consider doing a system acquisition.
