We support a flexible and collaborative working environment, and you are encouraged to visit our different locations to connect with colleagues across locations!
This policy clarifies the guidelines for reimbursement of costs related to office visits.
All employees have a contractual main office location in their employment contracts and in Workday. When working from a different office than your assigned location, you may expense the additional travel costs associated with the trip (e.g, train or bus tickets, parking, driving allowance) provided that at least one of the following conditions is met:
Business Need: Your physical presence is required at another location to complete specific tasks, attend onsite meetings, or manage local operations.
Manager Request: Your manager has explicitly requested that you work from a specific office location.
Scheduled Event: You are attending a scheduled event, such as a workshop or a department meeting, that requires in-person participation.
When travelling between office locations, and that is needed from a business perspective, lunch can also be expensed.
While you are always welcome to work from another Oda location when your work allows for it provided there is space available, travel costs cannot be reimbursed and must be covered personally when the visit is made at your own initiative for personal preference, convenience, or general networking.
If travelling to another office location does not entail additional, meaning increased, travel costs compared to your main office location, the trip is not reimbursed.Β
The allowance will be calculated based on the shortest distance between your home and the visiting location or the distance between your main office location and the visiting location. Meaning you will expense the shortest distance of the two alternatives:
The distance between your home and the visiting location
The distance between your main office location and the visiting location
