Control your Zoom Meetings

  1. Protect your system. Make sure you have the latest version of Zoom's software, which was updated in January. To update Zoom, if you already have the Zoom desktop client installed, you can check for updates: Sign in to Zoom desktop client. Click your profile picture then click Check for Updates. If there is a newer version, Zoom will download and install it.

  2. Don’t help hackers. Never click on links in Zoom chats.

  3. Don't make meetings or classes public. You can require participants to use a password, or the meeting manager can make participants first appear in the waiting room and be admitted individually.

  4. Invite with care. Do not share links to your meeting on social media. Email or text them directly to participants.

  5. Limit screen sharing. Hosts can prevent others from posting video by changing the screen sharing options to “Host Only.”

  6. Boot the uninvited. Hosts can remove a participant by putting the mouse over that name and choosing the Remove option.

  7. Prevent illicit returners. Disable the “Allow Removed Participants to Rejoin” option.

  8. Control your meeting. Limit screen share capabilities to the webinar or teleconference host-only.

  9. No file transfers. Disable “File Transfer” to curtail the capability to disseminate malicious files. Use email to share files.

Focus Mode

Focus mode is designed with the digital learning environment in mind, allowing students to stay attentive or work on their tasks while under supervision, without being distracted by others and their tasks. This feature gives the host and co-hosts view of all participants’ videos without other participants seeing each other.

To enable or disable Focus mode for your own use:

  1. Sign in to the Zoom web portal.

  2. In the navigation menu, click Settings.

  3. Click the Meeting tab.

  4. Under In Meeting (Advanced), click the Focus Mode toggle to enable or disable it.

Removing Participants Settings

By default, if someone is removed from a Zoom by the host, they are not able to rejoin. You can change it at https://zoom.us/profile/setting.

You may want to consider placing a student back in the waiting room, instead of removing them from a meeting.

Record Zooms Without Seeing the Participants

In the settings menu, you can turn off active speaker and display names, which allows only the screenshare and audio to be recorded.

Adjusting Volumes In Zoom

We've had several comments on how to increase the volume on Zoom calls especially from the chromebooks. You can adjust your own volume and you can have your students adjust theirs by clicking on the microphone on the bottom of the screen and choosing Audio Settings:

Then adjust your speaker and microphone settings. Be sure to test the volume. Note there are additional settings under the volume controls you may want to adjust.

Change Your Zoom Notifications

If your Gmail inbox is getting bombarded with Zoom notifications, you can change those settings at https://zoom.us/profile/setting.

Starting a Screen Share to Play a Video

  1. Click the Share Screen button located in your meeting controls.

2. Select the screen you want to share, and click "Share computer sound."

3. Click Share Screen.

4. Start playing your video in full-screen while sharing your screen.

Automatically Adjust Microphone Volume

If you having trouble hearing your students, click into your Audio settings, and look for the checkbox that says "Automatically adjust microphone volume."

Renaming

If students rename themselves during a meeting, Zoom does not remember it.

So, when students need to rename themselves and want it to stick, they need to open the Zoom extension, and enter in the meeting ID for any meeting. Zoom will allow them to type their name, and will remember it!

Auto Saving Chat Setting

If you want your meet chat log to be automatically saved, you'll want to turn on this toggle.

After each meeting, a file will be saved in your computer's "My Documents" > "Zoom" folder.

The most common Zoom error code is 104101, which typically represents a poor connection or firewall issue.

If you use Zoom frequently, make sure your account is marked "Licensed" so you have access to all of the features we are paying for. If it says "Basic," contact someone on the tech staff to get you converted.
