Hiring Managers must first apply to receive approval for a Career Boost Position. Hiring Managers must fill out an online position request for a Fall/Winter or Summer Career Boost student. Hiring Managers usually apply for a Fall/Winter Career Boost student in the summer and in April or May for a Summer Career Boost student.

A hiring manager who has signing authority on their cost centre should ensure there are sufficient funds available before processing the Career Boost Student for the portion of funds NOT covered by the Career Boost Program. The hiring manager is an individual who is considered the approver of the funds for the position to hire. Once a hiring manager's Career Boost Position has been approved, their Career Boost Position will be placed on the Orbis Communications Job Posting page.
New Process for Career Boost Hiring - Effective 2026-2027 Academic Year
Effective for the 2026-27 academic year, a new approval step has been added to the Career Boost hiring process.
Before any interviews are scheduled, hiring managers must obtain written confirmation from TRSM Finance (trsmfinance@torontomu.ca) confirming that the department has adequate funding to support the portion of the contract not covered by central Career Boost; please use the Career Boost Hiring Calculator to determine the additional department funding required. This confirmation must be received before proceeding to the interview stage — no interviews should be scheduled until approval is granted.
When uploading your hiring documentation in the back-up folder, please include this TRSM Finance confirmation along with the usual required backup documentation. Submissions missing the confirmation will be considered incomplete and will not be approved.
Updated process:
Submit your hiring request to TRSM Finance for approval. Use the template Career Boost Budget Template. Going forward, career boost budgeting will be handled through this process rather than the annual budget template. All other short-term salary requests will continue to flow through the annual budget templates as usual.
Wait for written confirmation from trsmfinance@torontomu.ca.
Once approved, proceed with scheduling interviews.
Upload the confirmation together with your usual backup documentation.
Once your hiring request is approved, please ensure that you are managing your ongoing Career Boost spending by utilizing the Career Boost Funding Declining Balance spreadsheet. Your department should not exceed the funds allocated for each contract.
Hiring Managers must ask students for a copy of their Career Boost Proof of email approval. The Career Boost approval should be received by the employer prior to the interview process and before the student is hired.
Note: Students must request and be granted Career Boost approval at the commencement of each academic year. (i.e.: Fall/Winter, Summer)
The Part-Time/Casual Employee Contract Form, the Career Boost Appointment Letter and Student Career Boost email approval from Student Financial Assistance are normally used as back-up documentation for Career Boost employee appointments for eAppoint. The form and appointment letter should be uploaded to your department’s google drive titled “Backup eAppoint Documentation - DEPARTMENT NAME.” eAppoint Validators use the back-up documentation drives to approve the transactions in eAppoint.
The employee, as well as the hiring manager approving the funding for the hire, must sign the form and appointment letter as they serve as the contract between the employee and the university and represents the agreed-upon hiring details (ie. start and end dates, hourly rate, hours per week, job title, etc). Career Boost Positions are entered into eAppoint. For Fall/Winter positions, two transactions must be entered into eAppoint (one transaction for fall and one for winter). Please ensure that the employee receives a copy of their appointment letter.
You will note that these template letters are on TMU letterhead. If you wish to use TRSM-specific letterhead, please cut and paste the template provided by HR into your preferred TRSM letterhead available on TRSM's MarCom's Downloadable Resources Page.
If the Part-Time/Casual Employee Contract Form is not used, staff must gather the required personal information of the employee using the Ted Rogers School Non-Union Casual Google Survey Template as per the information below and the Career Boost Appointment Letter must include the full distribution code at the end of the letter for auditing purposes.
Changes to Contract Details
If any contract details change (e.g., total contract hours and/or hours per week, start or end dates, hourly rate, supervisor, or distribution coding), an updated Part-Time/Casual Employee Contract Form and a revised Offer Letter must be completed and signed by the unit leader. The revised Offer Letter must also be re-signed by the employee. Both the signed contract form and the revised, re-signed Offer Letter must then be uploaded to your unit’s “Backup eAppoint Documentation” Google folder.
A revised Part-Time/Casual Employee Contract Form is required to formally document the unit leader’s approval of the revised total hours and associated costs of the updated offer.
To use the Ted Rogers School Non-Union Casual Google Survey Template, you must make a copy of this survey first using your own Toronto Metropolitan login information. The Survey Template is to be used for Non-Union Casual employees and Career Boost students for large bulk-hiring. The form addresses the required information for both returning and new employees.

For administrative type Career Boost positions, please use 6316 as the account code within the distribution code of the transaction in eAppoint.
Depending on the type of work, hiring managers and faculty may want to have their Career Boost students sign a Confidentiality Agreement.
All Career Boost contracts should be set up with positive time reporting with employees and supervisors entering and approving hours in the timesheets every 2 weeks as per the payroll schedule page in AskHR. For your reference here are the 2025 payroll deadlines.

The Contract Hours Audit Report in eHR allows managers and alternate approvers to track hourly employee timesheets against contracted hours. Run biweekly, it provides key details such as employee and supervisor information, contract dates, hourly rates, total contract amounts, approved and submitted hours, job codes, and account distribution codes.
Should Career Boost students no longer wish to work for any reason, please process a Job Termination transaction in eAppoint after receiving their resignation in writing by email. The resignation should be forwarded to the eAppoint validator before approval of the Job Termination transaction.
