Changes to the undergraduate calendar are part of routine maintenance that reflects modifications at the course, curriculum, and policy levels. A few examples include: creating a new course, repositioning an existing course, introducing a new Minor, changing a co-op work term sequence or changing the admission requirements for a program. As per Senate Policy #127, calendar changes are categorized as either a Minor (1, 2, 3) or Major Modification. More information about these categories can be found here.
If you are planning any Category 2 or Category 3 Minor Modification and/or Major Modification, you must complete this form. The form will provide the Curriculum Quality Assurance team with the necessary information to determine the appropriate process and create a specific template for your proposal, where required.
All approved changes, regardless of category, require calendar change forms to be submitted. If the proposed change is classified as a Category 2 Minor Modification, a proposal will not be required; you will instead be advised to submit the appropriate calendar change forms.
Calendar changes must be approved by the teaching department/school council before moving forward with the approvals process. Once approved by a department/school council, calendar changes are then submitted to the Undergraduate Curriculum Committee (UCC). The UCC reviews calendar changes and votes to make recommendations to the TRSM Faculty Council. Minor Modifications (Category 1, 2, or 3) are included on the consent agenda, while Major Modifications are included on the regular agenda. Only regular agenda items are voted on. After they have been approved by the Faculty Council, calendar changes are either submitted to the Calendar Publications Office or to the Academic Standards Committee (ASC).

Note: If the change affects a program/major/minor outside of the teaching department/school (e.g. retiring a course that is required in a program outside of the teaching department), you must receive formal approval from that program’s department/school council and faculty council. If you are unsure of which programs a course is a part of, please review the “Curriculum by Course” report.
The deadline for calendar changes is usually at the end of the first week in October. Therefore, the cycle for review and approvals begins as early as November, although typically the bulk of changes are processed in the spring and fall. This also depends on the category of change.

Calendar changes that are submitted by the October deadline will be published in the calendar the following academic year.
Note: All calendar changes require the submission of appropriate forms through the Calendar Change Hub. Instructions on how to use the Calendar Change Hub can be found here. Upon completion of the form, the Calendar Change Hub will generate a Google document that must be signed by all impacted teaching and program departments via Google Approvals. If the change is Category 2 or higher, you will also be required to obtain approval from the Deans of the teaching and program departments.
