Attention! Retention Alerts

The Retention Alerts (Early Warning) process allows faculty to identify students struggling with personal, academic and financial issues, preventing them from attending and/or participating in their classes.  Creating a retention alert is the first step for the college to engage with students about the support and resources to help them succeed, determine their needs and get back on track.


How do I submit a Retention Alert? The following document, Retention Alert - ARIES will guide you through the process.

Getting Started in ARIES

ARIES Initial Login

Through STCCNet Portal, or directly through ARIES (Self-Service); start with STCC.edu, e-tools. This login setup is the same for faculty, advisors, students, and staff (if staff has roles that include use of ARIES).

ARIES Advising 

ARIES Advising Manual (Google Doc)

The ARIES Advising Google document is a step-by-step instruction manual on how to use the updated ARIES system. The document contains detailed descriptions of the included screenshots. It should help those who are comfortable with step-by-step instructions understand the updated advising process. 

The links contain a list of the advising options and the short training video clips (between two and ten minutes) to show “How To” in the ARIES system.

After meeting with a student, faculty/ advisor can archive and save the plan, as an electronic verification of what was discussed with the student. If you click on “Allow Student to Register,” the archived plan date is displayed in advisee’s record as the last date of advisement. Note: this Allow to Register button is required for SHPS students, but not for LAPS, STEM students, but can be used to verify last time faculty or advisor met with the student.

ARIES Drop option is through the Courses and Sections tab; can only drop during the Add/Drop period; check academic calendar for dates. Recommend Review Complete and Archive Plan if any changes are made.

ARIES email option creates a list to the Clipboard, to be pasted into GMail; you will have to remove from the pasted list any emails you do not want to have sent

Can expand/collapse sections of the Evaluate Program; links directly to courses and sections. Can add one or more new program/course of study “what-if” options; “x” out of new program options to continue. Recommend Review Complete and Archive Plan if any changes are made.

Notes provide faculty, advisors, and students with a go-to place to make comments. These notes are kept as history, and cannot be edited or deleted. If needed, add a new note to amend a previous note.

ARIES allow this by Courses and Sections, Advanced Search, Section Listing; advisors can register directly from the Express Register calendar setup. Recommend Review Complete and Archive Plan if any changes are made.

Retention Cases

To be determined - currently in test mode

Can plan courses over many semesters; can move courses; if course/section, must drop course/section to add new course/ section or course. Recommend Review Complete and Archive Plan if any changes are made.

Demonstration of how to view grades, by semester. Students have this same option.

Detail on the hold will provide students with directions on how to resolve these.

Some profile information shows on the student's detail screen, including the student’s picture. If more information is wanted, can detail for full student profile.

This is seen by term. Schedule can be viewed as list, or as grid; can be printed in list form.

These are the placement test scores, challenge exams, and other tests taken; the Admissions Office posts these.

These are unofficial; you must go through Registrar’s Office for official transcripts.

These are the classes accepted from other institutions, Fresh Start; Admissions Office posts these.

Items (courses and/or sections) added to the cart. Students can complete the registration process on their own, by clicking on the Register button and selecting the classes wanted. Faculty/ advisors can also register, by clicking on the Register button for that semester, in courses and sections, calendar/list view.

ARIES Grading & Course Management

Please refer questions specific to class attendance, grading, and class rosters directly to the Registrar’s Office at registrar@stcc.edu.

Class Attendance Verification

At the start of each semester, faculty are required to verify class attendance. Beginning in the winter 2021-2022 semester, the ARIES student information system will be used for the process. Watch the Class Attendance Verification Process video for details on the new process.

Rosters

The class roster in ARIES became available mid-fall, 2021 semester. Watch the Class Roster video for details on how to access class list information.

Grading

Mid-term and final grades will be entered in ARIES beginning with the winter 2021-2022 semester. Watch the Grading in ARIES video, for details on mid-term and final grading. 

Withdrawals for Excessive Absences

For convenience, there are two link options for the Excessive Absence Withdrawal form in ARIES (see image below). Each link will take you to the Dynamic form. For instructions to submit a withdrawl form on the Dynamic form, view the following document, Excessive Absence Withdrawals (EAW) in ARIES. Faculty and students will receive an informational confirmation email after the form is processed by the Registrar’s Office.

What about student training?

Academic Advising staff have created a STCC 101: ARIES overview, a taped presentation for students, and video tutorials for students on ARIES. Watch these videos to get a sense of what the students were told about the new ARIES application for advising/course and section selection. 

Professional Day 2021 ARIES Presentation

On Professional Day, September 2, 2021, the Student Planning Subgroup for Training Committee presented two sessions related to the Student Planning Project. The ARIES Demonstration video is available for your perusal, as are the ARIES Demonstration Presentation slides. 

WebAdvisor vs ARIES Presentations & Videos

This section contains brief presentations (two to six minutes in length) that highlight the differences between tasks currently performed in WebAdvisor, and how these tasks can now be performed using ARIES. Screenshots are used in these presentations. The videos walk the viewer through the presentation; some may feel comfortable just viewing the presentations without watching accompanying videos. For more detail on ARIES specifics, either watch the ARIES video on the topic, or view the hard-copy documentation listed below.

Suggest Enhancements

Please use the ARIES Issues and Enhancement Request Form to submit any enhancement requests and non-emergency issues that you find using the ARIES system. The ARIES development team will review this log to “fix” issues and consider/forward enhancement requests to the vendor.
