If someone's left your workplace, you'll need to archive their employee record.
If you have access to add new staff via All Employees in the manage sidebar use Method 1, otherwise scroll down to Method 2.
From the site inbox, hit the 'Switch to Manage Mode' button:
Click 'All Employees' on the manage sidebar:
Find the person you're looking for and click 'Remove' on the right side of their name:
In the pop-up message, click 'Mark as Ex-employee'. This will set their leaving date to today (if you want to set a specific date user Method 2)
If you don't have access to All Employees or if you want to set a specific leaving date, click on the employee's name, then hit "Edit" in the top right
Type the employee's leaving date in the "End day" field:
Note - the end day is the last day of working, the system will consider them as current up to midnight (UTC).
Then click 'Save employee' at the bottom of the page.
Reminder tasks - These will be handled automatically by the system and will resolve the day after the employee’s end date.
Raised actions - These remain open and must be manually updated and resolved, including details of how the issue was addressed. This ensures there’s a clear evidence trail if any follow-up action is needed after the employee has left, which is particularly important in the case of contentious leavers.
If you want an employee to be archived and their reminder tasks automatically resolved immediately, set their End Date to the previous day.
Tip: For short-term contracted staff, you can pre-populate the End Date in advance.
