Safety Alerts is a feature that allows you to create tasks at multiple sites in one go. They are designed to alert the managers to something and provide steps that they need to follow to resolve the site Safety Alert task.
Examples of Safety Alerts:
Equipment defects - Alerting managers in order to carry out additional checks or remove equipment from use.
Incidents: Making managers aware of an incident at a site and to carry out a toolbox talk with staff on the subject.
Regulatory Compliance Updates: Notifying managers about updates in health and safety regulations that require immediate action or changes in operational procedures to ensure compliance.
Product Recalls: Alerting managers to recalls, advising on the steps to take, such as discontinuing use.
N.B. This function is intended for our multi sited clients - for single sited clients please use Report > Create an Action.
There is an additional subscription for Safety Alerts - if you intend to use this feature ensure that all managers opt in for this so they get an instant email notification when you have created a Safety Alert.
From My Dashboard, click on "Pick workspace" and select the company parent or regional site you want to issue the alert from.
From the site inbox page click the 'Switch to Manage Mode' button
Click on the more options button (...) in the top right and select 'New safety alert'
Configure your safety alert.
Title - Give your safety alert an appropriate title (e.g. 'Safety Alert - Hard Hat Use')
Severity - Give your safety alert an appropriate severity. The severity will determine how prioritised in the task inbox the alert will be. We would recommend critical if its an important alert, or immediate for the most severe of alerts.
Site Selection - Select which sites this alert will appear at. If you control many tiers of sites this page may be sectioned into regions/sub-parents. Remember to untick any sub parent sites if you don't need an alert to be actioned there (e.g. a geographic region).
Safety Alert Description - Describe what the purpose of the alert is. Make it clear what actions/steps they should be taking.
Below is a completed example of a safety alert.
When you're happy with the alert, click 'Send safety alert'
Once the safety alert has been sent, you will be taken to the master Safety Alert task.
This task will be assigned to you and snoozed (as it cannot be actioned until the sites actions their alerts).
Under 'Sub tasks' on the right hand side you will be able to see the site level alerts and if they have been resolved (purple shielded tick symbol).
You can click on these to jump to that site's Safety Alert task.
At the bottom of the task you will see a verification checklist section. This is an optional feature to assist you in checking if the site level tasks have been completed correctly.
You can resolve the master task once all sites have resolved the task - you do not have to have ticked all the verification checkboxes.
When the Safety Alert was sent, tasks will have been created on all of the selected sites.
Managers are expected to follow your instructions and resolve once completed
If you have a large number of sites we recommend testing with one or two sites and seeing if the manager can understand / follow the instructions as once generated you can not change the text on the alert without editing each site alert separately. Opus can delete any test tasks that you create.
We recommend that you store the Safety Alert for future reference within site documents.
