NOTE - if you are using Single Sign On (SSO) the process is slightly different as users will be using their company credentials to log in. Please refer to the documents > help folder in Site Documents for client specific instructions.
Employees can do lots of things like E-learning, checking out site documents, and reporting near misses without being registered users. But signing them up as users makes things even easier and lets them handle more things on their own.
To register an employee as a user, they will need an email address. The employee will enter their email address when they register for an Opus account, you do not add the email address to the employee record.
IMPORTANT - do not use registration links for other employees when you or someone else is logged into the system otherwise their employee records will be linked to your Opus Compliance Cloud account. You will see a warning if you try to do this.
Please follow the steps below to register employees as users on the system.
From My Dashboard, click on "Pick workspace" and select the site where the employee is located
From the site inbox, click the 'Switch to Manage Mode' button
Click 'All Employees' on the manage sidebar.
In the employee list, click the blue 'Link to Opus Account' next to the employee record.
A QR code page will show.
Now, you can either:
Ask the employee to scan the QR code with their phone (remind them to log out if they're using someone else's phone).
Copy the link using the button at the bottom and send it to the employee through email or an internal messaging system (like Teams or Slack).

Step 2. Linking your Opus account to your employee record by clicking on 'Link my Opus account' on the following page.
Once you’ve successfully registered, we suggest bookmarking your landing page. Or to access in future, visit our website at www.opus-safety.co.uk and select 'Log in' via the menu in the top right corner.

You can also include any additional information or context that you think is necessary for your staff members such as company specific instructions or a personalised message from a senior manager. This can make for a much warmer and more engaging interaction than a generic email from the system would provide.
After following the link or scanning the QR code, users will see a screen with two options - "Sign up" or "Sign in":
Click "Sign up" (Use "Sign in" only if the employee has already created an Opus account).
Follow the instructions to create a new Opus account.
You'll now see a Link Confirmation page:
Double-check the name is correct, and click "Link my account".
This step is super important, if they skip this they'll have an Opus account without an associated employee record - see incomplete registration in the Troubleshooting Login / Registration Problems guide.
Remember, Registration links are one-time use. Users should bookmark the Opus system web address or visit www.opus-safety.co.uk and click 'Log in' at the top right to use the system in future.
Users will receive an email address confirmation after registering. Please select "Confirm my email".
