Communications
The SSS Communications Policy has been put in place to establish communication expectations and operating procedures to keep all staff, stakeholders and suppliers informed and up-to-date in a logical and timely manner.
1. School Calendar of Events
Only SLs have access to the rights to make changes to the Google Calendar, and only upon discussion during EXCO meetings
Details of the event has to be precise, i.e. timing of event, venue, classes involved, name of i/c
Staff members are to check their Google calendar on a weekly basis as changes may be made
2. Internal Communications via Email
Staff members are expected to check their emails daily (Monday through Friday) and respond (if necessary) within 24 hours. Emails should not be sent out the night before if action is required the next morning.
For information on upcoming events, staff is to check staff bulletin expected to be sent out on Sundays.
If the content is extremely urgent, staff members should utilise whatsapp/message relay system
Internal communications (non-sensitive information), as well as communications with parents, will be maintained using Iconmail (moe.edu.sg).
3. External Communications via Email
Staff members sending out emails to external parties must carry the MOE confidentiality clause in their signature.
EXCO members must state their capacity in their respective areas in their salutations.
Staff members are to send confidential information (including exam papers) via Classified Email System (CES) (schools.gov.sg). Staff members should note that MOE information will be sent through this domain.
4. Communication with Parents
All teachers are expected to maintain regular communication with their students’ parents via platforms such as the student handbook, Class Dojo or email.
The content of such communication should pertain to homework matters**, areas of concerns, notification of upcoming events including curriculum programmes and assessments, and/or administrative matters.
The above expectation will be reinforced and followed up by each teacher’s Reporting Officer.
The frequency of communication to parents is as follows:
**Upper Primary students are expected to record homework and/or administrative matters in their student handbook.
For P1 to P3 at least once a fortnight
Homework ( what we have covered so far);
Area of concerns (academic / non academic);
Curriculum programme like HA;
Spelling;
Upcoming events
For P4 to P6 at least once a fortnight
Area of concerns (academic / non academic);
Any upcoming events;
Admin matters like consent forms, collection of money;
Upcoming events
Reporting Officers should be informed which media platform the officer would be using to communicate with their class' parents and may require the officer to show evidence of communication with their class’ parents.
