Reserve/Start Zoom Meeting

  1. Access ZOOM

1) Access AjouBb Course >> Click [ZOOM] on the left sidebar menu

2) Access the main Zoom screen in the new tab

2. Basic Function - (1) Change Language Setting

1) Click [Pencil Icon] on the top of the Zoom Screen

2) Click the ⓥ button from the language option >> Drag the select the desired language

3) Click [Update]

4) You can check the screen with the new language setting

2. Basic Function - (2) Menu

1) Schedule a New Meeting: reserve a new meeting

  • The reserved meeting can be checked in [upcoming meeting]

2) Upcoming Meetings: the list of upcoming reserved meetings

3) Previous Meetings: the list of ended meetings

4) Personal Meeting Room: Start meeting quickly with a certain topic/personal meeting ID/URL

    • For regular courses, reservation is not available and students cannot check the reserved meetings in the [Upcoming Meetings] tab

5) Cloud Recordings: The recorded meeting saved in the cloud can be viewed for 30 days

6) Get Training: additional zoom training sessions are available at the zoom help center (https://support.zoom.us/hc/en-us)

[Note] Zoom Cloud Recordings are only available for 30 days after being recorded. If you would like to keep your Zoom cloud recordings longer than 30 days, please download the files

3. Reserve New Meeting

Click [Schedule a Meeting] at the top right corner of the Zoom screen

1) Topic: Write the meeting topic

2) Description: Detailed explanation about the meeting

3) When: The meeting date and time

  • Host(Instructor) can start the meeting anytime before the starting date by clicking [Start]

  • Participants(Students) cannot enter the meeting room before the meeting date, but once the host starts the meeting, they can enter the room

4) Duration: Set expected meeting duration

5) Time Zone: Set the time zone of the country where you have the zoom meeting

  • (GMT+09:00) Seoul

  • Recurring Meeting: Recurring Reservation of meeting available every day/every week/every month (if selected)

6) Registration: if the necessary items are checked, the participants(students) join the meeting after filling in the necessary items like registering the name and email

  • Even if this option is not checked, the participants(students) can change their names when joining the meeting

7) Security

  • Passcode: enter the password when entering the meeting room

Passcode not required: when the participants join the meeting using URL

② Passcode required: when the participants access zoom(zoom.us) and join the meeting using meeting ID

  • Waiting Room: When the participants [Join a meeting], they first enter the waiting room until the host [admit] participants

  • Require authentication to join: limit meeting participants to those with zoom account

8) Video: When entering the meeting, select video [ON/OFF]

  • Even if you turn the video [OFF], you can turn it [ON] during the meeting

9) Audio: Set the basic audio function when entering the meeting room, [Computer Audio] setting required

10) Meeting Options: check each item for the meeting option

  • Enable join before host: enabling participants to join before the host(instructor) joins

① Disable: participants cannot join the meeting before the host

② Enable: participants can join the meeting before the host, but it the [(7) waiting room] is activated, participants can join after the host admits

  • Mute participants upon entry: participants will be muted upon their entry

  • Record the meeting automatically: if activated, select recording location(local PC/Cloud)

11) Alternative Hosts: Designate the alternative host for the meeting

  • Professor/TA: Enter Ajou email(@ajou.ac.kr) with zoom account

  • Even if the Alternative Host is not designated upon reservation, it is possible to designate an alternative host during the meeting

12) Click [Save] after completing the setting

  • After the meeting reservation, click meeting topic from [upcoming meeting] >> setting change available by clicking [Edit meeting]
