0. Notes for using Xinics

1) In case of an error when creating a video using Xinics

When the folder doesn't include numbers

When importing Xinics video in the folder created within a folder

When the video title contains special characters ( ', ", @, &, % ...) while uploading Xinics video

2) When deleting videos from Portfolio, the videos in Ajou Bb are also deleted.

The videos uploaded in Portfolio are original videos. If they are deleted, an error occurs in Ajou Bb attendance status which is connected to the Portfolio

3) Set learning time 2 minutes shorter than the regular learning period

Set learning time 2 minutes shorter than the actual learning period in the content for those who are watching the lecture via mobile phone

4) When you copy a course include online attendances, the attendance setting is required to re-set

Attendance setting is required to be reflected in the newly copied course (If not, the attendance is not reflected)

5) To using E-Attend System (@Ajou Portal) sync with AjouBb online Attend data(Kaltura, Xinics)

The attendances result of video contents placed in each WEEK folder of AjouBb - Course via [온라인 출석 콘텐츠 생성] or [Kaltura Media] will be matches with WEEK of E-attend system

Student should be completed learning activity during the attendance term
(Overdue learning activities will not be count)

③ The folder name should contains "주차" or "Week" so it will be working with E-attend system
(ex, folder name: 01주차, 02주차, ~ 16주차, week01, week02, ~ week16)

④ When you sync the attend data, please follows below steps
> Access to the E-attend System (@Ajou Portal) > Select the Subject and Week want to update > Click the Button [AjouBb]

⑤ It is recommended to data sync is a day after your class date, since the data arrange takes time

※ Please refer the E-Attend System Manual from the school affair department for 'How to use the E-Attend'

1. Upload contents via Xinics - Access Portfolio

1.1 Access Website

1) Enter [ portfolio.ajou.ac.kr ] into the address bar >> Click [Login]

2) Login using Ajou Portal ID/PW

1.2 Screen Layout

1) Click the upper tab(register content/content list/create content) to use each function

    • Register Content: Upload video content file(Xinics) for online attendance setting on Ajou Bb

    • Content List: Check and manage the original contents for uploaded online lecture

    • Create Content: Create online lecture content using EverLec and Ready Stream

2) Start recording by selecting the options on the left menu or right screen section.

    • Readystream: Upload video created using Ready Stream

    • EverLec : Upload video created using EverLec

    • LectureDeck: Upload video created at the automatic recording classroom(LectureDeck)

    • Other videos: Upload video created using other authoring tools other than Readystream/EverLec/LectureDeck
      (Although it's MP4 video, the capacity, image quality etc. are being converted appropriately for internet video streaming)

3) Usage: You can check the amount of usage and the entire capacity from My Portfolio Account

2. Upload contents via Xinics - (1) Recorded using Ready Stream(.rsz)

2.1 Upload Content

1) From the [Register Content] tab in Portfolio, click [ReadyStream] on the left menu or right screen section.

    • Access Portfolio : Enter [portfolio.ajou.ac.kr] into the address bar (Using Chrome Browser is recommended)

2) Click [Upload Authoring Tool Content]

3) Find and select the file(*.rsz) you want to upload and click [Open]

The uploading takes about 5 minutes for 30-minute-long video and the converting takes about 10 minutes after uploading

4) After uploading the content, check the basic information >> Click [Complete]

5) Click registered video from the [Content List] tap at the top to check registered details

    • Click the video to edit or change the basic information

2.2 Screen Layout

1) Share[공유]: share video creating a weblink

2) Original[원본]: click to download uploaded original content

3) Convert to MP4[MP4 변환 하기]: click to convert uploaded content to mp4

    • When clicking, it changes into [Waiting for conversion], MP4 download available once the conversion is completed

4) Transfer[이동]: transfer uploaded contents to separate folder (Creating a separate folder to arrange files)

    • Create a folder: click (+) button from the menu on the left

    • When right-click the created folder, you can change the folder name

5) Edit[수정]: edit the description below the content

6) Delete[삭제]: delete the selected content

※ Note: When deleting videos from Portfolio, the attendance videos connected to Ajou Bb are also deleted

2. Upload contents via Xinics - (2) Recorded using MP4 Video

It is used to upload video of various extension

1) portfolio.ajou.ac.kr >> [Login] >> [Register Content] >> Click [Other Video]

2) Click [Upload Other Video]

3) Find and select the video you want to upload and click [Open]

The uploading takes about 3 minutes for 30-minute-long video and the converting takes about 10 minutes after uploading

4) Check the basic information >> Click [Complete]

    • Convert to MP4: Videos of other formats(avi, mov, etc) convert to MP4 file once clicking [complete] button

5) Can check the registered video from the [Content list] tab

    • Click the video to edit or change the basic information

    • Cloud Editor: Click to open the Cloud Editor's browser which allows you to edit the video from the web browser directly

3. Attendance setting using Xinics - (1) Creating Folders

Create folders for attendance videos

1) After access to AjouBb, select the course you want to upload video and click LectureNote>> [Create content] >>Click [Folder]

2) When creating the folder, write folder name(must contain numbers) >> Click [Submit]

  • If you write in the text box below, it appears at the bottom of the folder once it is created

※ When you includes '주차' , 'Week' as folder name at the first place,
you can sync the attendance result with the E-attend System(@Ajou Portal) later
(ex, 01주차, 02주차, Week01, Week02 ... )

3. Attendance setting using Xinics - (2) Checking Videos

Check videos that can be created as attendance content

1) Click the FOLDER you want to create as an attendance video

2) Click [Create Content] at the top >> Click [온라인 출석 콘텐츠 생성/Online Attendance Content Setting]

3) Check the list of attendance videos: You can check and change the setting of the attendance video registered in the 'Create Content' screen

4) Setting new video as attendance contents: Click [Import Xinics Content] at the top >> Portfolio Screen Popped-up

Select the video to be newly added as attendance video among portfolio content list

5) any changes: click video information >> edit or change and click the [Select] button on the right

6) Register immediately: click the [Select] button on the right from the video list

3. Attendance setting using Xinics - (3) Attendance Recognition Period, Learning Time Setting

1) Select the checkbox of the content you want to create (allow multiple selections)

2) Select the folder location(such as, Week01, Week02...) and set learning time and attendance

3) Learning Time[학습시간]: The attendance is recognized only when students complete taking the class for a certain amount of time set by the instructor

  • If you want to set your class without attendance data, select learning time as 1 second before creating the video

  • After students complete the set amount of time for their class, they can skip sections depending on their needs for review

  • Set learning time 2 minutes shorter than the actual study period in the content for those who are watching the lecture via mobile phone (ex. 50 min -> 48min)

4) Set Attendance Recognition Period(start date/end date), Learning time >> Click [Create/생성]

5) After clicking [Create/생성], check the Message Bar at the top of the screen completing update for learning recognition time

6) Once the folder is created, you can check the result of attendance contents in the folder: Link starting with [XIN~]
- To make the attendance date stand out, it is not recommended to change the title [XIN ~ ].

4. Upload using My Media

1) Access Ajou Bb course >> [Manage Courses] >> [Course Tool] >> [My Media] ('Manage Course' can be found at the bottom of the the course menu)

2) Click [Add New] and select [Media Upload]

3) From' Upload Media,' click [Choose a file to upload]

4) Select the file saved in my local device(PC) and click [Open] to upload

5) Enter lecture title, description, details, tag, video privacy option, etc. >> Click [Save]

[Check videos that can be created as attendance contents]

1) Select Menu and Folder to upload the video

2) Select [Create Content] at the top >> Click [Kaltura Media]

3) Check uploaded Video from My Media on Kaltura Media

5. Attendance Setting using My Media - (2) Registering video

1) Check the file you want to register from My Media, click [ </>Embed]

2) From the 'Update Mashup Item' page, write the video information(title, description)

3) Click [Submit] and check the created video in the folder

When setting posting period for the lecture video, it will be deactivated once the posting period ends. So it is necessary to inform students the posting period in the video description for their attendance.
