Check for Missing Details
Introduction
It is a good habit to regularly check your OGD records to see which details need to be updated. The accuracy of the OGD helps in decision making and knowing the general status of community.
You can spend one hour every 1 or 2 weeks to update the OGD using the details that you gather. By doing this, you will end up with an updated OGD database for your chapter.
Thank you for your help and support.
In the OGD
Log in to OGD.
Click Reports at the top-right menu options.
Click Export Specific Fields. This opens a window similar to the one below.
If needed, select a chapter.
If you have a chapter-level access, you should see your chapter name in the Area box.
Click the checkboxes as shown below.
Click Export.
Wait for OGD to generate an Excel CSV file.Â
This may take a few minutes to process depending on the number of records OGD is exporting.
Your web browser downloads the CSV file. You can press Ctrl-J see the download progress. When the file is ready, click Open file. You may see a different display depending on your web browser.
In Excel
This assumes that you know how to use MS Excel or a similar program.
Adjust the columns so you can see all the data.
Freeze the top row and the first two columns (for the first name and last name) for better viewing while you browse through the records.
Look for blanks to know which data is missing.
Look for outdated information -- for example: home address, email address, mobile phone number.
Contact the people concerned to get the missing details.
Back in the OGD
Update the OGD.
Repeat the procedure from the top as needed.
Check Family Records
After this, you can check for the completeness of details of Family Members. This helps in seeing which of the children can be invited to our Family Ministries. Use the above procedure but click on the checkboxes shown below.
