Adding a new Pastoral Service Record in OGD

When a member has a new pastoral service, add a new Pastoral Service Record.

<Area> <Service> <HH Head>

• • Click ADD RECORD.

    • • For an existing record, click Edit for the record row.

  • Adjust the From date if needed.

  • The To date is automatically set to Present.

• Change the Area to the appropriate level -- for example, from Chapter level to Cluster level.

  • • Click x to delete the current.

    • Search for the new level. It is usually best to type in the sector name. OGD then shows as list of clusters and chapters. Click the appropriate cluster or chapter for the person's pastoral service.

• Select the new Service.

  • • Select Member if the member has no pastoral responsibility over any member like

      • • PFO

        • Couple Coordinators (CC) of Family Ministries

        • Couple Coordinators (CC) of Social and other Ministries

        • Inactive members

        • A Household Head (or another pastoral service role) may become a regular Member. When you add a new Member service and you get this error message (Error! Cannot set service to MEMBER. There are still members assigned to this leader as the household head. Re-assign them all first to a new household head.), refer to the steps described here.

    • Select the appropriate pastoral service.

      • • HH - Household Head

        • HHL - Household Leader (wife of the Household Head)

        • UH - Unit Head

        • UL - Unit Leader (wife of the Unit Head)

        • CH - Chapter Head

        • CL - Chapter Leader (wife of Chapter Head)

        • CLH - Cluster Head

        • CLL - Cluster Leader (wife of Cluster Head)

        • SH - Sector Head

        • SL - Sector Leader (wife of Sector Head)

  • Select the HH Head (household head).

    • If the new service is SFC/YFC/KFC Cluster Coordinator, his household head is then the Cluster Head.

    • If the new service is Household Head, his household head is then the Unit Head.

• Click Save.

Important

• Check the previous entry. Make sure the From and To dates are correct.

  • • It is common for OGD to copy the From date to the To date. Example: From 11/01/2021 To 11/01/2021.

    • If needed, click Edit on that row and update the record as needed.

• It is a good time to review the entries in the Pastoral Service Record, Service Roles, and Parish Service. Update the records as needed.
