Updating Member Info
Screenshots in this web site may be a bit different from the current OGD system.Â
Do your best to regularly update the records of CFC members.
Updated personal information are needed in reports and other purposes.
Members can view and update their information using Members Portal.
For members who do not want their personal details in the OGD, see this guide.
Click Members Database at the top menu. This brings you to the screen shown above.
In the Search box at the top right portion of the screen, type in the first name, surname, or nickname of the member whose record you want to update.
Click GO or press Enter to do the search and display the search results with this header.
Click on the member's name under the Member Name column. This displays the Edit Member screen.
You cannot delete old OGD records. You can set a member's Status to Inactive with these steps.
For duplicate records, click here.
Here are details of each tab.
You can see 6 tabs when you view a member's record.
Personal Information
See above image for the details under the Personal Information tab.
Birthday
This is also used to send a birthday email reminder to the email address set-up by the OGD encoder.
Home address
Keep this updated.
This may be used in case CFC needs to send a document to the member.
Email address
Keep this updated. This is used to email the tax document for tithes.
Put one email address per person. Putting multiple email addresses can cause errors in the Members Portal -- when creating account and when resetting password. You can put other email addresses in unused fields like Website or in the Notes box (in the Formation tab).
Click Save Changes after updating.
Family
Church Wedding Date is used to generate reports
For wedding anniversaries and those who can participate in wedding milestones (5, 10, 15, 20...50+ year anniversaries)
For a list of young couples (i.e., those married for 15 yrs or less) who will get invited to Young Couples Program events
This is also used to send a wedding anniversary email reminder to the email address set-up by the OGD encoder.
If a couple/member is civilly married and not yet married in the Catholic Church, please use: 01/01/1900. This way, we can generate a report (using Export Specific Fields) and know who among our members need a convalidation.
If a couple/member is NOT married at all, leave the Church Wedding Date blank. Consult your Chapter Head and/or Cluster Head. If there is an impediment, the matter should be handled prudently.
For Spouse, you can only add the name of the spouse if the spouse has a record in OGD.
If the spouse has no OGD record yet, update the member's record after creating the spouse's OGD record (assuming the spouse is a CFC member already).
If the spouse has an OGD record but you cannot link them as a couple, check their Gender. This happens when one of them has a wrong gender specified.
Click Save to save the updates.
Remember to update the Ministry for the children (e.g., KFC, YFC, SFC, CFC).

If the member's Occupation is not in the list, select the closest one.

Click Save Changes after updating.
When are you done updating, click Close or click on another tab to continue updating.
