Activities

In the OGD Activities feature, you can

  • download the Attendance Capture Software (ACS)

  • add a new activity

  • see and update the details of the posted activities

    • Activity name

      • It would be good to put in the name of the Formation talk for easy reference.

    • Type

    • Area

    • Start Date

    • End Date

    • Team Leader

    • Venue

    • Attendance - number of participants

Scope of OGD Records for a New activity

Chapter Event

You log in using the chapter OGD encoder account and create a new activity. The attendance capture link is only for member of your chapter. When members from other other chapters use this link, their records are not found in your chapter OGD. Their entries are ignored. This means those members would appear as "absent" from the activity.

Cluster Event

If you have a cluster event (that is, an event for members of multiple chapters of the same cluster)

Option 1: Use the cluster OGD encoder account to create the event. Use its attendance capture link. This event is not visible in the individual chapters' OGDs.

Option 2: Each chapter creates the same event.

  • The members of chapter "A" should use the chapter A attendance capture link.

  • If a member uses the attendance capture link of another chapter (for example, chapter "B"), his/her record is not found in chapter "B". The attendance entry is not accepted.

  • The chapter A's event is seen in chapter A's OGD.

  • The events of chapters "B", "C", and "D" are not seen in the chapter A's OGD.

Sector Event

If you have an event for multiple clusters of the same sector (or a sector event), use the sector OGD encoder's account to create the event. The event's attendance chapter link can be used by members of the participating chapters. The event is seen at the sector-level OGD, not at the chapter-level and cluster-level OGD.

Regional Event

If you have an event for multiple sectors (or chapters/clusters in different sectors)

Option 1: Use the regional OGD encoder account to create the event. Use its attendance capture link. This event is not visible in the individual clusters'/chapters' OGDs.

Option 2: Each sector, cluster, or chapter creates the event.

  • Select which level (sector, cluster, or chapter) creates the event in their OGD.

  • The visibility of the event depends on which OGD account is used. This is similar to the Cluster Event scenario.


Similar details apply to provincial and national (or other levels) events.

Report a new activity

  • Click the New Activity button to manually post an activity.

  • Enter the details of the activity.

    • To change the Area/Chapter, click x to clear the box.

        • Type in your area name and search for the area, cluster, or chapter.

        • Click the item you need.

  • Select the appropriate Activity Type.

    • Assembly - Chapter Assembly (CA), Household Meeting

    • Conference

    • Fellowship

    • Formation

      • Select this if the activity involves a Formation talk (that is, part of the Pastoral Formation Track).

      • Select specific formation talk(s) that will be covered in the event.

    • Mission

    • Others

    • Service Meeting

    • Teaching

      • It would be good to add the teaching topic in the Activity Name or Notes box.

    • Training

    • Work with the Poor

  • Set the date, time, and time zone.

  • Notes

    • You can put in names of guests, details of topics and activities (e.g., honoring or rosary prayer).

  • After putting in all the activity details, click Save.

  • Copy the system-generated web link for online attendance capture.


Edit an existing activity

  • Click an existing activity.

  • If needed, click Send activity reminder.

    • All options are selected by default.

    • Click uncheck all to clear all selections.

    • Click check all to select all options.

    • Click the box for Email only MC Members as needed.

    • Click Send to send the reminder.
