Forms and quizzes allow you to collect structured information from applicants and employees during the hiring process. These tools help hiring teams gather consistent responses, screen candidates efficiently, and document important information throughout the hiring workflow.
HRGP includes a variety of pre-built forms and quizzes that can be used immediately. These forms support common hiring tasks such as applicant screening, interview evaluations, and position documentation.
Pre-screening questionnaires used when applicants first apply
Structured interview evaluation forms
Candidate follow-up questionnaires
Position descriptions
Quizzes to assess applicant knowledge, skills, or role-specific qualifications.
Other common hiring and onboarding information forms
These ready-to-use forms help organizations quickly implement consistent screening and evaluation workflows.
In addition to the provided forms, custom forms can be created using the Form Builder (Tools → Form Builder).
Custom forms allow you to collect exactly the information your organization requires. Forms can include different types of questions, such as:
Multiple choice questions
Short or long text responses
Structured screening questions
Custom questionnaires for specific roles or hiring stages
Creating custom forms allows your hiring process to be tailored to your organization’s specific needs.
Forms and quizzes are used within the Hiring Workflow for an applicant.
Forms can also be added to Guided Hiring Workflows, allowing them to be automatically sent to applicants at the appropriate step in your hiring process.
Using forms as part of guided workflows helps standardize hiring procedures, reduce manual steps, and ensure that hiring teams consistently collect the information needed to evaluate candidates.
Reminders & Auto-Reject
If an applicant does not complete a required form, HRGP automatically sends reminder emails to help ensure the form is completed.
The standard reminder schedule is:
Initial form invitation when the form is first sent
Reminder after 24 hours
Reminder after 48 hours
Reminder after 96 hours
Final reminder after 7 days
If the form is still not completed after the final reminder, the applicant may receive a rejection email depending on the hiring workflow configuration.
These reminders help ensure applicants complete required steps while keeping the hiring process moving forward.
Use pre-screening forms to filter applicants early in the hiring process.
Keep forms focused on the information needed at each hiring step.
Use Guided Hiring Workflows to ensure forms are sent to applicants.
Standardize interview evaluations to ensure consistent candidate comparisons.
