Bulk actions allow you to perform the same action on multiple records at the same time. This feature helps you manage large numbers of candidates efficiently without repeating the same task for each individual record.
Bulk actions are available in several areas of HRGP, including the Applicant Dashboard, Email Center, and Texting page.
Bulk actions in the Applicant Dashboard allow you to manage multiple applicants at once. Bulk actions appear after you select one or more records using the checkboxes in the list.
To perform bulk actions in the Applicant Dashboard:
Go to ATS → Applicants.
Use the checkbox next to each applicant to select one or more records.
Once applicants are selected, the bulk action toolbar will appear.
Choose the action you want to apply to the selected applicants.
Common Applicant Dashboard bulk actions include:
The Reject Applicants bulk action allows you to reject multiple candidates at the same time.
When rejecting applicants, you can choose how the rejection email is handled.
Available options include:
Do Not Send a Rejection Email
Reject the selected applicants without sending any email notification.
Edit the Rejection Message
Modify the rejection message before sending it. This allows you to customize the message for the selected group of applicants.
Use Standard Rejection Message
Send the default rejection email that is configured in your system settings.
When one or more applicants are selected in the Applicants dashboard, a Tags button appears in the bulk action toolbar. The Tags button contains a drop-down menu that allows you to quickly add or remove tags for the selected applicants.
Tags help you organize, categorize, and filter applicants throughout the hiring process.
Add Tags
To add tags to multiple applicants:
Select one or more applicants using the checkboxes in the Applicants list.
Click the Tags button in the bulk action toolbar.
Choose Add Tags from the drop-down menu.
Select one or more tags from the list.
Click Apply to add the tags to all selected applicants.
Delete Tags
To remove tags from multiple applicants:
Select one or more applicants using the checkboxes in the Applicants list.
Click the Tags button in the bulk action toolbar.
Choose Delete Tags from the drop-down menu.
Select the tag(s) you want to remove.
Click Apply to remove the tags from the selected applicants.
Using the Tags bulk action makes it easy to organize large groups of applicants without editing each record individually.
When one or more applicants are selected in the Applicants dashboard, a Comments button appears in the bulk action toolbar. The Comments button contains a drop-down menu that allows you to quickly add or remove comments for the selected applicants.
Comments are useful for recording notes about groups of candidates, such as interview outcomes, follow-up reminders, or internal feedback.
Add Comments
To add comments to multiple applicants:
Select one or more applicants using the checkboxes in the Applicants list.
Click the Comments button in the bulk action toolbar.
Choose Add Comment from the drop-down menu.
Enter the comment you want to add.
Click Apply to add the comment to all selected applicants.
Delete Comments
To remove comments from multiple applicants:
Select one or more applicants using the checkboxes in the Applicants list.
Click the Comments button in the bulk action toolbar.
Choose Delete Comments from the drop-down menu.
Select the comment(s) you want to remove.
Click Apply to remove the selected comments from the applicants.
Using the Comments bulk action makes it easy to update notes across multiple applicants without editing each record individually.
When one or more applicants are selected in the Applicants dashboard, a Communications button appears in the bulk action toolbar. The Communications button contains a drop-down menu that allows you to send emails or text messages to the selected applicants.
Using Communications bulk actions makes it easy to contact multiple candidates at once without opening each applicant record individually.
Send Texts
To send text messages to multiple applicants:
Select one or more applicants using the checkboxes in the Applicants list.
Click the Communications button in the bulk action toolbar.
Choose Send Texts from the drop-down menu.
Type your message or select a text template.
Choose Send Now to send the message immediately or Schedule to send it later.
Send Emails
To send emails to multiple applicants:
Select one or more applicants using the checkboxes in the Applicants list.
Click the Communications button in the bulk action toolbar.
Choose Send Emails from the drop-down menu.
Type your message or select an email template.
Choose Send Now to send the email immediately or Schedule to send it later.
When one or more applicants are selected in the Applicants dashboard, an Interviews button appears in the bulk action toolbar. The Interviews button contains a drop-down menu that allows you to manage interview invitations and send interview details to the selected applicants.
When interview actions are performed using these bulk tools, the corresponding workflow cards for each applicant are automatically updated. This ensures that Guided Hiring Workflows always reflect the current status of each candidate without requiring manual updates.
Invite to Schedule Video Interview
To invite applicants to schedule their own video interview:
Select one or more applicants using the checkboxes in the Applicants list.
Click the Interviews button in the bulk action toolbar.
Choose Invite to Schedule Video Interview from the drop-down menu.
Click Send Invites to email the selected applicants an invitation to schedule their video interview.
HRGP also adds a comment to each applicant’s record indicating that the video interview invitation was sent. If a Video Interview step exists in the applicant’s workflow, the workflow card is updated to reflect that the applicant has been Invited.
Send Video Interview Details
To send scheduled video interview details to applicants:
Select one or more applicants using the checkboxes in the Applicants list.
Click the Interviews button in the bulk action toolbar.
Choose Send Video Interview Details from the drop-down menu.
For each applicant, select the Date and Time of the interview.
Click Send Details to notify the applicants and add the interview events to the Calendar.
If a Video Interview step exists in the applicant’s workflow, the workflow card is updated to Scheduled.
Send In-Person Interview Details
To send in-person interview details to applicants:
Select one or more applicants using the checkboxes in the Applicants list.
Click the Interviews button in the bulk action toolbar.
Choose Send In-Person Interview Details from the drop-down menu.
Enter the Location, Date, and Time of the interview.
Click Send Details to notify the applicants and add the interview events to the Calendar.
If an In-Person Interview step exists in the applicant’s workflow, the workflow card is updated to Scheduled. If the step does not already exist in the workflow, HRGP automatically adds the step and updates it with the scheduled interview details.
Bulk actions in the Email Center allow you to send emails to multiple recipients at once.
To perform bulk actions in the Email Center:
Open the Email Center from the main menu.
Select multiple contacts or recipients using the available selection tools.
Compose your message or select a template.
Send the message to all selected recipients.

Emails can include templates, formatting, and attachments and are sent through your connected email account.
Bulk actions on the Texting page allow you to send SMS messages to multiple recipients at the same time.
Open the Texting page from the main menu.
Click the Bulk Message icon above the recipients list. This opens the bulk messaging panel where you can filter recipients by Position Title and/or Comments.
After applying the filters, select the recipients you want to message from the filtered list.
Enter your message or select a text template.
Choose Send Now or Schedule the message to be sent later.
