Questions on MRI auth status
Check status of referral in chart. We can tell patients that we have received the information and that our team is working on it. Insurance approvals can take up to 3-7 days depending on the insurance company. You may add a note in the reason field by adding a new line that the patient called and is anxious, this is helpful for Verisma. As always, we will do our best to help with urgent matters. Please teams Verisma if the matter has not been handled in a timely manner.
Anxiously awaiting something coming to the fax box and want immediate notification that it is in?
• Email Scanstatpa@vsortho.com and ask them to let you know when they see it.
Need a medical record requested from an outside provider?
• Fill out the outside medical records request form with location, patient name, dates, body part/parts (L hand), DOS if possible, and email to roi@vsortho.com
Need a disc burned for a patient who is currently in the office?
• Have patient fill out release form at front desk, very important that all fields are filled out CORRECTLY read carefully.
• Ask patient to consider Powershare/Efferent instead! If not, explain that we are now charging for CD's. CD-ROM's will be $6.50 and will need to be paid before we make the CD. Please explain that the reason we charge for CD's is because with the new technology it is no longer supporting CD's. You may then ask the radiologist tech in the office to burn the disc. FD will help with mailing disc.

Front Desk – please print this medical records release form for patients who are in the office.
If you have a patient that wants records, the best way to meet their needs is to send them the release form attached OR send them to vsortho.com. where they can fill out a release form right on our website! Once the form is completed, have them send it to Frontdeskall@vsortho.com. YOU CAN NOT STRESS ENOUGH THE IMPORTANCE OF THE COMPLETED FORM AND THAT IT IS COMPLETED CORRECTLY!!!!
Patient requesting medical records -or- imaging records
IF FORM IS NOT FILLED OUT CORRECTLY THE REQUEST WILL NOT BE DONE
• VSON ROI will process requests once they have the records release form. VSON has 15 days to process the request.
• Image Requests:
Preferred Method: Powershare/Efferent: ROI will push to Powershare/Efferent. Powershare is used to send to Medical/clinic locations. Efferent is used to send to the patient or person that needs their images. IF they say they did not receive their images inform the patient to check their junk mail. FD/CC: Send EMAIL to ROI to let them know that the images did not go through and they will resend.
• CD Requests: If a CD of images is requested to be mailed ROI will send an email to the frontdeskall and radiology emails. FRISCO FD and RADIOLOGY DEPT will help with mailing discs. If the patient has requested to pick up a CD in an office ROI will send an email to frontdeskall and radiology stating which location. Each location is responsible for preparing (radiology), notifying and documenting on the MEDICAL RECORDS GOOGLE TRACKING SHEET(front desk).
Efferent: Is our imaging platform. We can share images obtained/taken at VSON directly to patient.
Houses actual imaging pictures obtained/taken at VSON (Xray and MRI).
Houses actual imaging pictures shared or uploaded from outside locations. Xrays, CT, Dexa, MRI etch.
