Update the SOP for gymnastics leadership and gymnastics staff as necessary.
Around week 5, copy previous term's program schedule on Google sheets and create a new schedule, this is where you will manage scheduling and combining/canceling classes. Here is the folder the spreadsheet will live.
Make sure to keep an eye on your numbers in this sheet and keep them updated.
Set up Ideal-Logic for the term. Copy the Ideal-Logic template from the previous term and use the Google sheet schedule to input classes into IL.
Open new classes as classes fill.
Put the gymnastics schedule on the outlook calendar.
When you click into a class, under notes add a title saying "Make-up Availability". Under this heading put a number and blank line for every open spot in the class. For example, if there are 6 gymnasts registered in a level 1 class, write 1.______ 2.________ under the title.
Update the KidSpirit website with registration information and schedules - see Marketing for more information (see office staff for assistance!).
Post on the Mid-Valley Homeschool Facebook group chat to market our morning recreational gymnastics program.
Talk to marketing about creating a flyer to put up on the bulletin board in the hallway and in the gymnastics room.
Make a printable flyer for next term's registration to hand out to families during check in/out
Schedule Staff and supervisors for the term.
Copy over the guardian viewing schedule and rotation schedule from the previous term and edit the dates and other details.
Hang up the rotation schedule in the gymnastics room
Call in-progress registrations as the beginning of the term gets closer (1-2 weeks away). Many of these people forgot about their registration!
Check in with gymnasts and guardians to encourage them to come back next term.
Check in with Staff to see if they will apply again (This only applies to spring and summer term).
Write and train your staff.
Make sure everything is printed for the upcoming term.

School year Sessions
Week 1:

Continue closing registrations to help filter new registrations into specific classes.
Week 5:
Check with numbers compared to the year before. If registration numbers look good, finish closing classes for registration. If numbers do not look good, continue checking in with the program director.
Finish midterm evals.
Put out guardian evals. Have them fill these out at guardian viewing.
Week 6:
All registrations for this term should be closed, unless otherwise instructed by program director.

Week 7:
Begin preparing for next term. See pre-term tasks for reference.

Start final Evals.
Continue preparing for next term.
Make sure staff are getting overall progress reports done and get them printed for next week.

Email Final progress reports to gymnasts who did not come on the last day.

Summer Sessions
Week 1:
Watch enrollments and cancel/combine classes as needed.
Meet and introduce yourself to gymnasts and guardians.
Finalize the Guardian viewing schedule and send it out
Have campers divided into groups based on skill level.
Put camp groups into the Swim & Gym Skill Tracking Spreadsheet and print out the groups for the progress report binder.
Make skill tracking sheets for camp by group
Week 2:
Facilitate overall progress reports getting done.
Advertise recreational gymnastics to camp classes.
Start preparing for next term!
