Gymnastics Supervisors work with the Special Events Coordinator to arrange staff for birthday parties.
If a gymnastics supervisor is not available to supervise the party, then another program supervisor can take over. Gymnastics parties only need gymnastics staff to provide instruction and direction for the guests.
Once the birthday party is assigned to the supervisor, a Wrike task list will also be assigned that will go over all that the supervisor needs to prepare before the party.
One of the most important tasks is that the supervisor calls the family a few days prior to the party to introduce themselves, and asks the family what exactly they want for the party.
You can tell the family that a typical party consists of one hour in the gym and one hour in the party room for food and presents. However, they have full control of how they would like to spend the two hours.
Make sure that you let them know that it will cost them more to add more participants to the party
Another thing to tell them is that all participants will need to register. The family has a link they can send to the expected participants, however, if the participant's guardians do not fill out the form, the will need to fill it out in person when they arrive.
The form is the special event consent form and can be found in the office.
Gymnastics staff should arrive 30 minutes prior to the start of the party to set up.
Set up includes:
Cleaning Langton 126
Papering the tables
Having an adequate number of chairs for participants
Tying balloons on each chair, the door to 126, and the front door
Writing "Happy Birthday _______!" in chalk on the board

Friday Fun Night is from 5:30 to 7:30 or 8:30 p.m. every Friday during the term.
Friday Fun Night does not run during Friday OSU Gymnastics meets.
Friday Fun Night is advertised as an opportunity for gymnasts to improve their skills, and for guardians to have a night off. Gymnastics Supervisors ensure Friday Fun Night is a safe, structured, and constructive environment.
Friday Fun Night has two options, a $30 two-hour open gym or a 3 hour $50 open gym with dinner included.
Gymnastics Supervisors will ensure Friday Fun Night is adequately advertised (online, flyers) and announced in gymnastics classes throughout the week.
Gymnastics Supervisors ensure the gymnastics room has been reserved. See the scheduling section for how to reserve a room in Langton.
Scheduled staff:
The Gymnastics Supervisor and one staff for every 6-8 kids are scheduled to work Friday Fun Night.
Staff can go home (at the direction of the Supervisor) if there are not enough kids, unless there are gymnasts of widely varying skill levels. For example, if you have one four year old, two six year olds, a level 2 gymnast and a teenager who does Level 7 at Peak, you may not want to send staff home.
Friday Fun Nightstaff provide structure and activities for those participating. Friday Fun Night can be a little more flexible, but staff will offer skill-based training to those who would like it, allowing for learning and growth.
Friday Fun Night gymnastics time will start with a group warm-up and stretch and end with a cool-down and stretch. For the 2-hour group, they will go right up to the gymnastics room after attendance is done, the 3-hour group[ will start with eating pizza downstairs and will head upstairs once they are done. After warm-up, the rest of the time is free for the participants.
The Supervisor monitors Friday Fun Night, helping manage participants as needed.
Staff can be assigned for the whole term, or on a week-by-week basis, depending on how many staff are looking for more hours and are interested in working Friday Fun Night.
The staff and assigned supervisor for the week should be entered as the staff into the shift on Ideal-Logic for each week of open gym.
Managing Friday Fun Night
Gymnastics Staff welcome participants in the main hallway in Langton Hall and check them in.
Gymnastics staff sends parents to the office to complete registrations and payment if needed. Office staff should be there to assist with this.
Friday Fun Night supervisor helps complete registrations and then checks on the open gym. The supervisor ensures that each kid in the gym is on the attendance sheet.
The supervisor checks to make sure that there is consent, registration, and payment for each child present.
Supervisor then goes to check on the open gym again and ensures that staff are safely scanning the room.
At 7:30 the supervisor checks to make sure one staff member has gathered the 2-hour Friday Fun Night kids for checkout. The supervisor does the same at 8:30 with the 3-hour Friday Fun Night kids.
Gymnastics supervisors work with the Special Events Coordinator to schedule gymnastics staff to cover the needed classes.
Lesson plans will need to be written for the entire group for ACES. Once all staff are assigned for ACES, the gymnastics supervisor will coordinate and contact a gymnastics coach to write the lesson plan.
Classes will follow the same format as recreational classes:

Before lines, the supervisor or lead coach will ask gymnasts to raise their hand if they have never done gymnastics before, if they have done some gymnastics before, or if they've done lots of gymnastics.
Campers will be split into groups based on their approximate experience level. This level can be assessed while participants are doing lines. There is some flexibility here, and supervisors or coaches should split up campers who seem to not work well together, even if that means putting one of them in a group that they might not have otherwise been in.
Watch their form during warm up lines (pointed toes, straight legs, general flexibility, able to do certain skills)
Coaches need to maintain groups of about 7-10, and provide a structured class environment. Classes should look very much like a standard gymnastics class.
You can combine floor and vault as one event and rotate the groups through each of the three events so that they get to do floor, vault, beam and bars. They can spend about 10-15 minutes on each event.
Summer camp gymnastics is run in two-week session and is run much like recreational gymnastics, except that campers come everyday for 2 weeks straight
The camp runs for two hours each day (L1-4) or one hour each day (KinderGym).
Classes will follow the same format as recreational classes:

Lines (split participants into appropriate levels, Kindergym through Level 3/4
Rotations
Stretching & conditioning
Classes should look very much like a standard gymnastics class.
Progress reports will need to be done everyday after each class
Overall progress reports will still be given out on the last day of camp
SDC Gymnastics
Camp gymnastics is when the summer camp groups have their rotation in the gymnastics room; this means many of the pariticpants have never done gymnastics before.
This will run exactly the same as ACES runs (see above)
We have not done this since COVID. The information below is how showcase ran before the pandemic.
Showcase day is an opportunity for gymnasts to show their skills in the USAG compulsory routines for each level. The idea behind it is that if a gymnast is moving up to the next level, they are pretty much able to do all of the routines for that level.
Showcase day is held on the last day of classes for each session of summer camp and the last day of all rec classes. Here is some basic information about how to set up and carry out showcase day:
Coaches should be provided with the routines and links to the videos and floor music electronically.
Routines are typed up and saved on the brain, so coaches can print them out if needed. Routines are saved under Forms and Templates > Gymnastics > USAG Routines.
Tiny tots and HOH classes should either be moved to the wrestling room, or worked around on the day of the showcase. They will not have routines.
If supervisors decide to use the wrestling room at particularly busy times, parents should be notified, and the wrestling room reserved.
If not using the wrestling room, coaches should adapt to the placement of the TT/ HOH classes.
TT/ HOH instructors should still do something special for the last day, like an opportunity for gymnasts to try skills without their parents, or do obstacle courses instead of stations, but they do not have routines.
The supervisor should adjust the rotation schedule for showcase day.
Coaches should teach the routines to kids as part of the lesson, but they should not spend the whole time on each event on the routines. They should start teaching routines by Week 5.
The idea is for kids to be able to put the skills together and to have something to show for their hard work. Gymnasts do not need to be able to do routines perfectly, by themselves, or with the music.
Coaches should give gymnasts options of whether or not they would like to do the routines in groups or by themselves, and what sort of assistance they want from the coach.
Music can be played through the stereo for the floor routines
On the day of the showcase, coaches should let parents know when it is going to start and invite them to come to a place where they can watch it.
Coaches need to be very aware of photo release, and not allow parents to take any group photos, or to videotape a child that is not their own.
Remind the parents that we have some gymnasts who have chosen not to be photographed, and parents need to respect that as well.
If possible, marketing should take pictures of gymnasts on the showcase day.
KidSpirit is often invited to provide childcare or other activities at different events around Corvallis. Gymnastics Supervisors work with the Special Events Coordinator to manage dates, times and staffing. Below are a list of procedures and items needed for outdoor and indoor events.
Day before:
Haul mats and equipment to designated site.
Stack mats so they’re ready to go for the day of the event.
Day of:
Setup mats in an obstacle course behind table.
Have parents sign consent form/waiver for participant.
Stamp hands signifying that they may play.
Have them take off their socks and shoes.
Supervisor ensures mats make it back to Langton and are cleaned with Lysol.
