Take inventory before each session.
During the school year:
Go to the shared KidSpirit drive and search “Archery Inventory”
Open the Excel spreadsheet
Print a copy to bring with you
Go through and account for everything that you have. Update the google sheet when you are done.
Make a Social Media Request on Wrike about registration opening along with other details as well as ensure the KidSpirit website is updated for the upcoming term
Send a welcome email for new sessions starting
Time and location
Suggestions of what to bring (what season are they participating in?)
Also, send this email to the staff teaching the class so they are in the loop
Keep a close eye on registrations heading into the start of a new session
One or two days before the term starts:
Print out staff packets and put them on staff clipboards
Make sure the General Accident/Behavioral Reports have been refilled (if needed)
Print out all of the emergency sheets of all the current participants at Kidspirit and organize them in the Archery Binder
Print out all of the special concerns for the archery participants only and organize them in the Archery Binder
Print out all of the emergency sheets of all the staff currently working at Kidspirit and organize them in the Archery Binder
Print out attendance forms for each session and put them in corresponding folders in Archery Binder
Print out first-day health check forms for each session and put them in the corresponding folders in the Archery Binder
Only print the first day because registrations may change by the second class
Make sure to check in with staff and their lesson plans for the first day. They may be uploading lesson plans each week or they may have lesson plans for the whole session already present in their sessions folder on Box. Make sure you are on the same page with your instructors and their lesson plans. Ask questions if you are unsure of what they are teaching specifically for a certain class.
Plan ahead and let staff know
Make sure to outline your expectations of teaching during training for the session
Time and location of class (if it changes from the first day of class)
Check every week to see if there is a closure or EE Wilson day
When the next session archery opens up
Hype it up! This is your way to market your program to get registrations so your classes are full.
If an archer misses a class or classes without an explanation
This is just a check-in, keep it friendly and concise
Check the Equipment Repair Log and schedule a repair meeting with archery staff if the items are repairable (such as new fletching, nocks, etc.)
In general, this means anytime there are more than 15 broken arrows.
Confirm lesson plans
Check OSU Box 5 days before the session's class
Reach out to staff if lesson plans are absent from their sessions folder
Ask questions if lesson plans are not concise
Check attendance
Verbal confirmation with staff and/or a glance in ideal-logic
Work on improvements for the program
Different activities for staff to try next session
Evaluation changes that best support the archer's overall learning experiences
Prepare for the next session
Complete mid session staff evaluations and meet with staff to go over them
Hold a meeting with archery staff to repair all repairable equipment
Request new equipment if necessary to replenish to original value
Use the standard evaluation form and communicate with your staff within the week of giving feedback. Set up meetings at the end of the term to go over ALL feedback given throughout the course. For evaluation forms, click here.
